We are seeking a highly organized and proactive Executive Assistant/Office Administrator to support our executive team and ensure the smooth operation of our office. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks simultaneously in a fast-paced environment. This is a contract to hire opportunity. Pay: $25+ depending on experience. 

Key Responsibilities:

•Executive Support: Provide administrative support to senior executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.

•Communication Management: Serve as a point of contact between executives and internal/external stakeholders. Draft and prepare correspondence, reports, and presentations.

•Office Management: Oversee daily office operations, including maintaining office supplies, managing vendor relationships, and ensuring a tidy and organized workspace.

•Event Coordination: Plan and coordinate company events, meetings, and conferences, including logistics, catering, and materials preparation.

•Data Management: Maintain and organize files, documents, and records both physically and electronically. Ensure data accuracy and confidentiality.

•Project Assistance: Assist with various projects and initiatives as needed, providing research support and tracking progress.

•Financial Administration: Support budgeting and expense tracking by processing invoices and managing office-related expenditures.

• Proven experience in the cleaning industry is essential.
• Proficiency in ADP - Financial Services is required.
• Familiarity with Cisco Webex Meetings is a must for virtual collaboration.
• Experience with Concur, a travel and expense management software, is mandatory.
• Knowledge of CRM systems and practices is required.
• Proficiency in using Kronos Timekeeping System is needed.
• Familiarity with About Time project management software is expected.
• Strong calendar management skills are crucial for scheduling and planning.
• Exceptional communication skills, both written and verbal, are required.
• Ability to handle conference calls efficiently is necessary.
• Proficiency in drafting and managing correspondence is required.
