This is an exciting opportunity for a seasoned professional with a strong background in executive-level support. The successful candidate will provide high-quality administrative and logistical support to our executive team, demonstrating exceptional organizational skills and a knack for effective communication. This role is perfect for someone who thrives in a fast-paced environment, and who is adept at managing multiple tasks and deadlines simultaneously. Responsibilities: Provide comprehensive administrative support to the executive team, including but not limited to managing schedules, coordinating meetings, and organizing travel arrangements. Act as the first point of contact for the executive team, handling correspondence and phone calls in a professional and timely manner. Prepare and edit correspondence, communications, presentations, and other documents. Conduct research, assemble and analyze data to prepare reports and documents. Manage and maintain executives' schedules, appointments, and travel arrangements. Arrange and coordinate meetings and events. Record, transcribe, and distribute minutes of meetings. Monitor, screen, respond to and distribute incoming communications. Liaise with internal staff at all levels and interact with external clients and vendors. Coordinate project-based work and oversee special projects as assigned. Maintain strict confidentiality of sensitive information. Qualifications: Minimum of 5 years of experience as an Executive Assistant or similar role, preferably within the Manufacturing industry. Bachelors degree in Business Administration or related field is preferred. Proven experience in information and communication management. Solid experience with office management systems, ERPs, and MS Office. Familiarity with online calendars and cloud systems. Experience using office equipment, including printers and fax machines. Strong organizational skills with an ability to prioritize time-sensitive assignments. Excellent verbal and written communication skills. Strong problem-solving skills and the ability to make decisions under pressure. Ability to handle confidential information with discretion and integrity. Exceptional interpersonal skills and a friendly and professional demeanor. Proven ability to manage and coordinate travel arrangements. Experience in coordinating and setting up high-level board meetings. Ability to multitask and meet changing deadlines. Must be self-directed and able to complete projects with limited supervision.
