The Executive Assistant to the Chief People Officer, Chief Financial Officer, and the Chief Compliance Officer will play a key role in ensuring high-level initiatives are met. You will serve as the primary point of contact for internal and external stakeholders, managing critical relationships with professionalism and discretion for this mission-driven non-profit.

This role encompasses a wide range of responsibilities, including executive outreach, strategic scheduling, and oversight of administrative functions. Additionally, the Executive Assistant takes the lead in coordinating special projects, often driving them from concept to completion, contributing to the overall success of the organization’s mission and objectives. This is a Temporary-to-Hire opportunity!


Responsibilities

  • Provides calendar management and prioritizes inquiries and requests while troubleshooting scheduling conflicts; makes decisions and suggestions to create seamless daily operations.
  • Completes a range of administrative tasks; preparing information for meetings; writing and preparing correspondence; travel arrangements; creating documents, reports, and presentations; and expense reports.
  • Researches, prioritizes and follows up on incoming issues and concerns, including those of a sensitive and/or confidential nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the executive’s style and organizational practice.
  • Builds relationships crucial to the success of the organization and cultivates relationships. Serve as the primary point of contact for internal and external constituencies on all matters including those of confidential or critical nature. Provide a bridge for smooth communication, and demonstrate leadership, competence, and integrity to cultivate credibility, trust, and support.
  • Works closely with the executives to keep them well-informed of upcoming commitments and responsibilities, following up appropriately. Act as a gauge having a sense for the issues taking place and keeping their supervisor updated. Anticipate their supervisor's needs in advance of meetings, conferences, etc.
  • Coordinates strategic initiatives and projects in support of company programs. Manages projects expeditiously, proactively, and with intentionality. Follows through to successful completion, often with deadline pressures.
  • Completes critical aspects of deliverables with a hands-on approach, including drafting correspondence and other aspects that facilitate their ability to effectively lead. Edit and complete first drafts for written communications to external stakeholders with high attention to detail.
  • Schedules meetings and off-sites; assists in coordinating the agenda for program leadership team meetings and offsites; takes notes and provides re-cap of action items, as deemed necessary.


Ideal Experience

  • Associate’s degree or equivalent in nonprofit management, communications, business, or related field.
  • 3-5 years supporting senior executives preferred. Overtime is required as needed by the executives.
  • Mission-driven, results-oriented, and ambitious. Applies a diversity, equity, and inclusion lens.
  • Ability to exercise good judgment and make informed decisions regarding priorities and calendar management.
  • Excellent communication, writing, and administrative skills; ability to design and edit presentations and materials.
  • Proven ability to work independently and to work at times under pressure and with little guidance.
  • Demonstrated ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround, and to adapt to various competing demands.
  • Strong interpersonal skills, actively building relationships with internal and external stakeholders.
  • Forward-facing thinker, servant leader, and highly resourceful team player who is proactive and solution-driven.
  • Proficient in Microsoft Office Suite.
