Exciting Opportunity Alert! (hybrid) We are partnering with a prominent think tank in Washington, DC, to find a dedicated Executive Assistant to support the Senior Vice President for Partnerships! This key role will involve providing comprehensive administrative support, managing scheduling, coordinating meetings and travel, and handling document flow within the office. The ideal candidate will have a robust work ethic, the ability to adapt in a fast-paced environment, and the discretion to manage confidential information. This position is perfect for a skilled administrator who can establish priorities and anticipate needs while thriving in a high-standard setting.

salary: $75,000 - $80,000 per year
shift: First
work hours: 8 AM - 4 PM
education: Bachelors

Responsibilities

  • Develop a thorough understanding of the organization's history, culture, programs, and financial support to enhance internal and external communications.
  • Copy edit and proofread documents to ensure clarity and accuracy.
  • Manage calendars and schedule travel arrangements.
  • Perform general administrative tasks, including corresponding with other departments and external contacts on behalf of the SVP.
  • Prepare expense reports and reconcile credit card statements.
  • Actively engage with the organization's Salesforce CRM and PeopleSoft financial systems to assist the SVP in managing relationships and deadlines.
  • Plan and manage logistics for virtual and in-office meetings.
  • Create and maintain paper and electronic files on the shared drive and SharePoint to support prospect and donor communications and project management.
  • Coordinate correspondence and requests related to Partnerships activities.
  • Assist in developing and submitting memos, letters, concept papers, proposals, grant reports, and other communications for prospects and internal audiences.
  • Ensure the SVP is fully prepared for meetings and events, proactively seeking agendas and materials when not provided.
  • Input and maintain information in Salesforce regarding proposals, gifts, and donor relationships, ensuring data integrity and confidentiality.
