Position Summary
The Executive Assistant will play a critical role in ensuring accurate, timely calendaring for the Attorneys and maintaining emails for the firm. This position requires a keen eye for detail, strong organizational skills, and the ability to work effectively in a fast-paced legal environment. In this role, you will provide crucial support to our attorneys, ensuring efficient operations and exceptional client service.
Key Responsibilities
- Manage the executive’s calendar, schedule meetings, and coordinate appointments to ensure efficient time management.
- Screen and prioritize emails, phone calls, and other communications, handling routine correspondence independently.
- Prepare and edit documents, presentations, reports, and correspondence as needed.
- Maintain and organize confidential files and records, ensuring accessibility and security.
- Plan and coordinate meetings, including preparing agendas, taking meeting minutes, and tracking action items.
- Arrange travel itineraries, accommodations, and transportation for the executive and team members.
- Organize company events, conferences, and offsite meetings as required.
- Assist in managing key projects by tracking progress, deadlines, and deliverables.
- Conduct research and compile information to support decision-making and strategic planning.
- Serve as a liaison between the executive and internal teams, ensuring alignment on priorities.
- Build and maintain strong relationships with internal and external stakeholders, including clients, vendors, and board members.
- Represent the executive professionally in all interactions.
- Monitor and manage office supplies, equipment, and expenses related to the executive’s operations.
- Handle expense reporting, reimbursement submissions, and budget tracking for the executive.
- Ensure the executive’s workspace is organized and well-maintained.
- Anticipate the needs of the executive and proactively resolve potential issues.
- Identify opportunities for process improvement and implement solutions to enhance efficiency.
Requirements
Qualifications:
- Associate's degree or paralegal certificate from an accredited program is preferred.
- Minimum of 2 years of experience as a Executive Assistant or in a related role within a law firm or legal environment.
- Proficiency in legal terminology, procedures, and software applications (e.g., Microsoft Office Suite, legal databases).
- Strong written and verbal communication skills.
- Exceptional attention to detail and organizational abilities.
- Ability to multitask, prioritize work, and meet deadlines in a fast-paced environment.
- Familiarity with legal research techniques and resources.
- Commitment to maintaining confidentiality and adhering to ethical standards.
