Responsibilities:
Executive Administrative Support
- Oversee and manage the Co-CEOs' calendars, expertly scheduling internal and external meetings and calls to ensure a productive and balanced workflow.
- Actively participate in select calls and Zoom meetings, providing comprehensive notes, managing IT requirements, and coordinating follow-up communications.
- Manage all aspects of phone communications, including maintaining detailed phone sheets, rolling calls, and ensuring critical calls are returned promptly.
- Coordinate and book comprehensive domestic and international travel arrangements, including flights, hotels, car services, and set visits, ensuring meticulous preparation and continued productivity during trips.
Meeting & Event Coordination
- Lead the coordination of board meetings, both remote and in-person, with key partners in Tokyo, Seoul/LA, and NYC/LA, ensuring all logistical details are handled with precision.
- Maintain and enforce the internal meeting cadence with department executives, particularly department heads, to ensure recurring meetings are prioritized despite competing demands.
- Strategically plan and coordinate the Co-CEOs' participation in major Film/TV Festivals (e.g., Sundance, Cannes, TIFF, Berlinale), including on-site support to assist the TV/Film team with meetings, events, and logistics.
- Collaborate closely with the Marketing team to plan and execute company-wide events, overseeing venue selection, catering, invitation management, and providing on-site event support.
Communication & Coordination
- Monitor and disseminate weekly PR announcements, tailoring updates for the Senior Leadership Group (SLG) as necessary.
- Compile and distribute the weekly company Traffic report, detailing all upcoming external and creative meetings.
- Manage and organize an extensive and growing list of contacts within a secure system, ensuring internal systems like Connect are consistently updated.
- Coordinate and provide logistical support for SLG retreats, ensuring a smooth and productive schedule throughout the event.
Special Projects
- Efficiently file, sort, and log monthly expenses for the Co-CEOs using Concur, ensuring accuracy and timely submission.
- Track and review external submissions (primarily film-related), providing concise coverage summaries, and managing follow-up communications with external executives.
- Support the Co-CEOs with tasks as needed, including but not limited to managing appointments, reservations, etc.
- Lead or contribute to special projects, providing cross-departmental support as required, leveraging your experience to drive success.
Requirements:
- Minimum of 4 years supporting senior level executives in a fast-paced film, TV, production, or entertainment related company.
- Demonstrated expertise in managing complex, high-volume calendars and scheduling across multiple time zones.
- Advanced proficiency with Microsoft Office applications and other relevant administrative tools.
- Superior oral and written communication skills, with a proven ability to communicate effectively across all levels of an organization.
- Exceptional attention to detail, accuracy, and organizational skills, with a track record of managing multiple priorities simultaneously.
