Job Description
EXECUTIVE ASSISTANT
SENIOR DEMOCRATIC MEMBER OF CONGRESS
SUMMARY:
The Executive Assistant maintains the Member’s official schedule, travel plans, and related records; briefs the Member on all scheduling activities and may make recommendations on proposed future meetings; assists with scheduling staff meetings and briefings; and coordinates with communications team to schedule press, interviews, radio, and television time.
The Executive Assistant also provides high-level administrative support by conducting research, preparing statistical reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise junior level clerical staff.
The Executive Assistant must be able to pass a writing proficiency test; support the drafting of the Congressman’s correspondences, including follow up written communications for meeting attendees; arrange for the district based, interstate and overseas travel for the Member and traveling on official business, for both air and ground travel; and coordinate special projects for the Congressman.
Other responsibilities as assigned by the Congressman and the Chief of Staff. Supports District-based manager, as needed, for any additional scheduling needs in-district or other administrative tasks.
ESSENTIAL JOB FUNCTIONS REQUIRED:
Candidates must be proactive, poised, experienced, have very strong attention to detail, and skillful at multitasking effectively in a fast-paced environment;
Must be fluent in Microsoft Office Suite and video conferencing platforms (Zoom, Microsoft Teams, Skype, etc.) as well as office technology in general;
Must have good analytical, communication and organizational skills as well as strong writing skills;
Remain abreast of current legislative and non-legislative issues impacting the Member;
Meet attendance requirements as established by the Office;
Maintain a good working relationship with the Member, staff, and constituents, and other the offices of other officials;
Work well under pressure and handles stress;
Accept performance-based criticism and direction; and
Work a flexible schedule including long hours and some weekends.
EDUCATION/EXPERIENCE:
Strong academic credentials; and at least 3 years of professional experience. Graduate degree is preferred but not required. Previous Hill experience preferred but not required.
SKILLS AND KNOWLEDGE REQUIRED:
Strong writing, editing, and proofreading skills;
Strong communication skills;
Knowledge of the legislative process, procedures, and organization of the House;
Knowledge of current issues and events in which the Member is involved;
Ability to exercise discretion and independent judgment in the representation of the Member;
Ability to work cooperatively and courteously with others;
Temperament to communicate with a variety of personalities in a tactful, pleasant, and professional manner;
Knowledge of office policies, practices, and procedures;
Knowledge of office computer applications; and
Proficiency in Microsoft Word, Power Point, Access, Excel, and other database management software.
WORKING CONDITIONS:
Work is mainly performed in a normal office environment. Noise levels are usually moderate; and
Works in small a workstation without an expectation of privacy.
