Our client, in the retail/ecommerce space is seeking an Executive Assistant to their Chief Operating Officer in Bergen County, NJ. The ideal candidate is highly organized and detail oriented administrative professional.
Duties include, but are not limited to:
- Coordinate the Chief Operating Officer’s calendar, schedule, and communicate with their direct reports in several time zones.
- Manage the executive’s email in Outlook by organizing, drafting responses, and reading threads for action items.
- Attend meetings and take meeting minutes for the executive.
- Handle project management tasks by creating and maintaining internal workflows, following up with internal and/or external parties, and use software application to do so.
- Coordinate occasional travel arrangements for international/domestic trips such as flights, lodging and process expense reports.
- Welcome guests into the office and field calls for the executive.
Qualifications:
- Minimum of three years of administrative and executive support experience.
- Bachelor's degree is preferred.
- Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint.
- Bilingual with English and Spanish is preferred.
- Experienced with project management and project management software i.e. ClickUp.
- Strong organizational and time management skills.
- Superb communication oral and written communication.
- Ability to exercise great judgment and prioritize workflows.
- Takes initiative and proactive.
- Solution driven problem-solving abilities.
