Executive Administrative Assistant
Our client, a fast growing & evolving startup company in Chester County is seeking an Executive Assistant to join the team and support their C-Suite Executives.
This role offers a unique blend of direct executive support and creative event coordination. The ideal candidate is a proactive individual with organizational skills, high attention to detail, and excellent communication skills.
Responsibilities- Directly support all C-Suite Executives with managing travel arrangements, calendar management, and all schedule coordination.
- Handle all expense management, including submitting and reconciling expense reports.
- Maintain the established file system for various departments.
- Research and organize data to aid in preparing documents for review and presentation for meetings.
- Provide general administrative support to the office, including vendor and maintenance management coordination, sorting & distributing incoming mail & packages, greeting visitors, and handling incoming inquiries.
- Assist in the preparation of regularly scheduled reports.
- Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.
- Ensure the upkeep and maintenance of sensitive information in accordance with the organization's policies and procedures.
- Assist with all event coordination including, but not limited to, sending out client invites, handling PR, and working with marketing & event sponsorships.
- Assist with other adhoc projects as needed.
- Proven ability to work in high-growth and highly collaborative environments; demonstrated track record with start-ups a plus.
- Professional level written and verbal communication and interpersonal skills.
- A sense of ownership and pride in your performance and its impact on the company’s success.
- Outstanding time management and organizational skills.
- Demonstrated ability to keep up with rapidly changing travel logistics under evolving circumstances and manage multiple calendars.
- Technology savvy, with experience using various software tools, including word processing, spreadsheets, databases, and presentation software is a plus.
- Critical thinker with excellent problem-solving skills.
- Light travel may be required.
- Bachelor's degree or equivalent experience preferred.
