Job Title: Executive Assistant & Business Administration

Location: Phoenix, Arizona

Job Summary:
We are seeking a highly skilled and motivated Executive Assistant & Business Administration to provide direct support to the owner of our growing masonry company. The ideal candidate will have at least five years of experience supporting business leaders, preferably in construction or a related industry. This role requires exceptional organizational skills, proactive problem-solving, and a keen understanding of the business environment. Knowledge of HR procedures, calendar management, office management, and event planning is highly desirable.

Key Responsibilities:

  • Executive Support:
    • Serve as a primary point of contact for internal and external stakeholders on all matters related to the owner.
    • Anticipate needs and provide timely support to ensure business operations run smoothly.
    • Manage and maintain the owner's calendar, including scheduling appointments, meetings, and travel arrangements.
    • Discuss goal setting- emphasize & commit focus to areas needing improvement
  • Office Management:
    • Oversee day-to-day office operations, including managing supplies, facilities, and administrative processes.
    • Develop and implement efficient office procedures to support company productivity.
    • Manage IT subscriptions, order phones, iPad, and download necessary apps with user and passwords available for user.
    • Purchaser company beverages/snacks for office
  • Event Planning:
    • Coordinate company meetings, training sessions, and employee events, ensuring all details are organized and executed seamlessly.
    • Plan and manage special events, including client appreciation activities or industry conferences.
  • HR Support (Preferred):
    • Assist with onboarding new employees, maintaining personnel records, and ensuring compliance with HR policies.
    • Provide administrative support for employee performance reviews and company communications.
  • Construction Industry Support:
    • Understand project schedules and communicate updates to the owner.
    • Assist in managing subcontractor agreements, permits, and other construction-related documentation.

Qualifications:

  • A minimum of 5 years of experience as an executive assistant or in a similar role supporting business owners or executives.
  • Experience in the construction industry or a related field is strongly preferred.
  • Proficient in Microsoft Office Suite, Google Workspace, and scheduling software.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Knowledge of HR policies and procedures is a plus.
  • Passionate for team work/team building and giving back.
