The Senior Executive Secretary will provide comprehensive administrative support to the Department Chair and leadership staff of the Center for Sport. Responsibilities include setting up departmental meetings, distribution of reports, scheduling one-on-one reviews, transcribing and processing meeting minutes and maintaining the confidential files.
This candidate will be responsible for coordinating the Center for Sport team consisting of directors, researchers, administrators, program managers, physicians, coordinators, and a variety of other staff. The Center for Sport programs are high profile centers that require a large amount of administrative organization.
The Senior Executive Secretary's administrative duties include but are not limited to maintaining calendars and schedules, maintaining accurate curriculum vitarum, keeping all medical licenses and credentialing up to date. Must respond to office calls, organize travel arrangement; process expense reports and reimbursements, departmental work orders, and supplies requests, assisting with preparing correspondence, power point presentations, manuscripts and grant proposals. In addition, the Senior Executive Secretary will coordinate faculty appointments, and all other department activities.
•Proficiency in MS-Office software, database and graphics software packages, as well as internet and literature search functions.
•Knowledge of medical education process and vocabulary.
•Excellent written and verbal communication skills.
•Excellent telephone manners and interpersonal skills.
•Ability to complete tasks independently using effective time management skills.
•Ability to work as a team and organizing a team approach to manage departmental tasks.
•Ability to maintain confidentiality in all work performed.
•High School Diploma or equivalent.
•Three years' executive level secretarial experience.
•Bachelor's Degree
•Experience working for an academic/higher education institution.
•Experience in web design preferred.
•Experience in medical writing and editing.
