THE POSITION

The Development Director (DD) will serve as the advancement leader for Portland Youth Philharmonic, reporting to the Executive Director and will be part of the development team, working with the Development Manager, Executive Director, Development Committee, and Board of Directors to support PYP’s mission. The DD will be accountable for ongoing development activities including annual giving, major gifts, foundations, corporate support, government grants and special events, as well as initiating and building relationships with current and prospective PYP supporters, corporate and community leaders. The DD will actively use PYP’s customer relationship management software, PatronManager.

ESSENTIAL DUTIES

FUNDRAISING:

Create an annual development plan with the Executive Director to support the vision of the organization.

Raise $1+ million in contributed revenue annually that supports PYP’s programs and general operations. Plan and implement all annual fundraising activities, including:

Direct mail and email campaigns

Foundation and government grants

Corporate philanthropic, marketing, sponsorships, and in-kind gifts

Special fundraising events, including PYP’s Meet the Musicians fundraiser

Donor cultivation and stewardship events

Planned giving

Manage donor and prospective donor relationships through a comprehensive program of identification, introduction, cultivation, and benefit fulfillment activities, including individual major gifts, in partnership with the Executive Director and Musical Director.

Assist board members in planning and meeting their individual fundraising goals.

Work collaboratively with the Marketing & Communications Director and Development Manager to design fundraising collateral.

Develop new fundraising initiatives in support of PYP’s programs.

Participate in long-term strategic development planning with the board of directors.

MANAGEMENT:

Supervise and work in cooperation and collaboration with the part-time development manager.

Develop and manage, with the Executive Director and the Finance Manager, the contributed revenue and development expense budgets and forecasts.

Ensure the timely processing and acknowledgement of all gifts.

Update and/or establish development policies, systems, and procedures, with a special emphasis on professionalism and ethical standards for soliciting, tracking and reporting gifts and for exceeding the expectations of individual, corporate, foundation and government donors.

Supervise the appropriate use of donor management software and reporting, ensuring donor privacy, data accuracy and timeliness of reporting.

Regularly collaborate with the Marketing & Communications Director and Operations Director to ensure integrated communications and consistent strategies.

Represent PYP in the community at events and conferences as appropriate.

Identify and engage contractors or vendors (e.g., caterers, auctioneers, venues, etc.) as needed to accomplish development projects.

TRAITS AND CHARACTERISTICS: It is especially important that the development director be a self-starting, creative, and entrepreneurial development professional with the ability to prioritize and achieve desired fundraising goals, as well as the flexibility to identify and pursue new avenues for growth. The DD needs to be attentive to managing multiple project timelines including overlapping deadlines while demonstrating urgency, accuracy, and excellence.

The right candidate will understand and appreciate the mission of PYP and be able to balance a strong interest in music and music education with a bottom-line focus on generating the resources to support PYP’s work. They will be a skilled communicator, able to work with a wide range of people, and have strong customer service skills. They will be able to generate enthusiasm among diverse stakeholders with a team-oriented approach.

EXPERIENCE AND QUALIFICATIONS:

3-5 years proven development experience with a successful track record in individual giving (major and annual), corporate, foundation, and government fundraising

Experience in soliciting and closing donations in all the fundraising areas

Excellent interpersonal skills, organizational ability, superior written and oral communication capabilities, and the ability to lead and motivate fellow team members and volunteers to achieve organizational development goals

Experience with fundraising event production

Experience with cultivating and soliciting major donors including high net-worth individuals; experience with capital campaigns is a plus

Strong knowledge of and hands on experience with customer relationship management (CRM) systems, Microsoft Office 365, SharePoint and OneDrive, Microsoft Teams; experience with basic level of graphic design is a plus

Technical proficiency with computers, software, and typing;

Bachelor’s degree or other comparable education is desirable

Current CFRE credential is preferred

Membership in professional and/or civic organizations is preferred

JOB CONDITIONS:

General:

The development director will spend a portion of their time out of the office on external appointments with donors, prospects, board members and community leaders, as well as at PYP activities and other community events/meetings. This may involve remaining in a stationary position during meetings, events, or in the office, and moving around facilities.

This position also requires extensive office work including creating and maintaining paper and computer files and communicating using email and telephone. A majority of time in the office is spent working at a computer workstation or on the telephone. The workspace is lit with fluorescent lighting and natural lighting. There will be opportunities to work from home on certain independent projects.

The development director is an exempt position which will require work outside of the typical work week, including extended hours, evenings and weekends as required by PYP performances, events and particular project workload. The director must attend all Philharmonic Orchestra concerts, including the annual Concert-at-Christmas on December 26.

Equipment Used:

In addition to a computer workstation and telephone, the development director uses a copy machine and printer to perform duties. Use of other office tools may occasionally be required.

Physical Demands:

This position requires extended periods of remaining in a stationary position, such as sitting and standing, at meetings, concerts, or other events. Some concentrated data entry using a computer is required. Occasionally, this position may have to transport or move supplies weighing up to 30 pounds for receptions or other special events without assistance.

SALARY & BENEFITS:

Salary range: $75,000-$80,000 a year.

Option to enroll in PYP’s health insurance (medical and dental) plan after 30 days of employment. PYP pays 100% of the monthly premiums for the employee.

401k: PYP annually contributes to this staff member’s 401k account, currently at 3% of their annual salary. Employee may make additional contributions as payroll deductions.
