We are in search of an Administrative Coordinator to join our team in the retail industry, located in Manhattan Beach, California. This role involves managing administrative tasks related to the coordination and logistics of travel and events. The position requires proficiency in digital systems, effective communication, and strong collaboration skills to ensure smooth operations. This role offers a long term contract employment opportunity.
Responsibilities:
• Manage and coordinate special events for department-hosted facility or hospitality events, including handling attendance reports, rooming lists, travel, and meeting logistics.
• Utilize software to track and process reservations, travel requests, and other related functions.
• Collaborate with other departments and team members to ensure seamless coordination of travel and event logistics.
• Prepare and distribute materials for meetings, trade shows, and special events, including confirmations, welcome packets, final documents mailings, name badges, signage.
• Prepare and maintain detailed reports and spreadsheets, tracking project meeting progress, rooming lists, meeting evaluations, and budgets.
• Maintain Travel/Meeting Intranet site and other departmental documents.
• Work with IT support and external software vendors to resolve hardware, software, and other technical issues that affect the department.
• Serve as a knowledgeable resource on event and travel technologies and tools, recommending and implementing improvements as needed.
• Provide effective professional customer service in responding to questions and requests.
• Carry out any other duties as assigned.• Minimum of 3 years of experience in an administrative role within the retail industry
• Proficiency in Accounting Software Systems and ADP - Financial Services
• Experience with Concur, CRM, and Dentrix Dental Software
• Familiarity with 'About Time' software
• Strong knowledge of Accounting Functions including Accounts Payable (AP) and Accounts Receivable (AR)
• Experience in handling and answering inbound calls
• Proficiency in CVENT software
• Ability to work in a fast-paced environment and manage multiple tasks
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• Attention to detail and problem-solving skills
• High level of discretion and judgement.
