Job Summary:
We are seeking a highly organized and efficient part-time Administrative Coordinator to provide comprehensive administrative support to the Executive Director, Program Director, and the organization as a whole. The ideal candidate will be a proactive problem-solver with excellent communication and interpersonal skills, and a strong ability to prioritize tasks and manage time effectively. This role requires someone with a strong sense of initiative, exceptional follow-up skills, and the ability to anticipate needs.
Responsibilities:
Executive Support:
- Manage the Executive Director and Program Director’s calendars, scheduling meetings and appointments.
- Prepare meeting materials, including agendas, presentations, and minutes.
- Make travel arrangements and prepare expense reports.
- Screen and direct phone calls and emails.
- Provide general administrative support, such as filing, photocopying, and mailing.
Program Coordination:
- Assist with the planning and coordination of workshops, events, and other program activities.
- Communicate with team members to ensure communication is transparent and tasks are completed.
- Track program deadlines and ensure timely completion of tasks.
- Communicate with program participants and stakeholders.
Office Management:
- Maintain office organization and orderliness.
- Order and manage office supplies.
- Greet visitors and provide a welcoming office environment.
Communication:
- Draft and send emails on behalf of the Executive Director and Program Director.
- Follow up on outstanding tasks and projects.
- Maintain contact lists and databases.
Qualifications:
- High school diploma or equivalent.
- Proven experience as an administrative assistant, coordinator, or in a similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a team.
- Ability to maintain confidentiality and discretion.
- Demonstrated ability to take initiative and anticipate needs.
- Strong follow-up skills and attention to detail.
Hours:
Part-time, 30 hours per week. Flexible schedule with the possibility of occasional evening or weekend work.
