We are seeking a highly organized and proactive Office Manager & Executive Assistant to join our team at our Manhattan headquarters. This hybrid role involves managing the day-to-day operations of our office while providing high-level administrative support to senior executives. What You'll Be Doing
Office Management:
- Daily Office Operations: Oversee the general upkeep and functionality of the office, including managing the pantry, office supplies, equipment, and cleanliness.
- Vendor Management: Liaise with external service providers for office maintenance, catering, supplies, and other operational needs.
- Guest/Visitor Management: Greet and host visitors and candidates for interviews at the office.
- Event Coordination: Organize and manage company events, meetings, and team-building activities to foster a positive workplace culture.
- Health & Safety: Ensure the office complies with health and safety protocols, coordinating with building management as necessary.
- Space Management: Collaborate with department heads to optimize office space, including seating arrangements and workstations.
- Calendar Management: Provide comprehensive support to senior executives, including scheduling meetings, coordinating travel arrangements, and managing their calendars.
- Communication Liaison: Act as a key point of contact between executives, employees, and external stakeholders, managing correspondence and ensuring timely follow-up on action items.
- Expense Reporting: Handle executive expense reports and other administrative tasks as needed.
- Experience: 3+ years of experience in office management, executive assistance, or a similar administrative role, preferably in a fast-paced, tech-driven environment.
- Communication Skills: Excellent verbal and written communication skills, with the ability to effectively interface with all levels of the organization.
- Tech-Savvy: Proficiency with office management tools and software (Google Workspace, Microsoft Office, Slack, etc.).
- Detail-Oriented: Ability to manage multiple priorities and maintain a high level of accuracy in a dynamic environment.
- Problem-Solving: A proactive, solutions-oriented mindset with the ability to anticipate needs and take initiative.
- Professionalism: Discretion in handling confidential information, with a high degree of professionalism and integrity.

Pay Rate
- The pay range for this position is $45 - $50/hour, for 40 hours per week.
Location
- This position is an on-site role, with 5 days a week on-site required in our Manhattan office.
