Job Description

As the Office Manager at IT Management Corporation, you will play a crucial role in ensuring the smooth day-to-day operations of our office. You will be responsible for managing various office administrative tasks while also supporting the accounting functions of the business. This dual role requires someone who is detail-oriented, organized, and able to manage multiple responsibilities effectively.

Qualifications

7+ years of experience as an Office Manager, Administrative Assistant, or similar role, preferably in a small to mid-sized company. Proven experience in accounting, bookkeeping, or financial management. Proficiency in accounting software (e.g., QuickBooks Online) and Microsoft Office Suite (Word, Excel, Outlook).

Strong organizational and multitasking skills with a keen attention to detail. Excellent communication and interpersonal skills. Ability to manage time effectively and prioritize tasks in a fast-paced environment.

Knowledge of HR processes and basic employment law is a plus. A degree in Accounting, Business Administration, or a related field is preferred but not required.

Additional Information

Key Responsibilities:
  • Oversee the daily operations of the office, ensuring a well-organized, efficient, and positive work environment.
  • Manage office supplies, equipment, and vendor relationships.
  • Process and manage accounts payable and receivable, including generating invoices, tracking payments, and following up on outstanding balances.
  • Assist with payroll processing and ensure timely and accurate employee payments.
  • Reconcile bank statements and financial records, ensuring accuracy in accounting.
  • Support HR functions such as onboarding new employees, maintaining employee records, and coordinating benefits.
  • Assist with project cost tracking and financial reporting for management.
  • Ensure compliance with office policies and procedures, as well as with local, state, and federal regulations.
  • Handle office-related inquiries and provide support to other departments as needed.
  • Schedule and coordinate meetings, appointments, and company events.
