Support faculty-led financial processes, including the drafting, revision, and reconciliation of faculty-led program budgets and financial documentation. Communicate financial policies and directives to program coordinators and/or faculty to ensure compliance with UT Austin policies. Coordinate financial payments to service providers and collection of financial agreements with departments in collaboration with Texas Global Finance team and program coordinators. Collaborate with procurement and contracts representatives to initiate procurement and contract processes with partners and support program coordinators through faculty-led contracts to full execution.Coordinate the request for proposals process for vendors that provide travel and academic services for faculty-led programs. Lead the communication and relationship development with vendors regarding proposal documents and other requirements. Organize the internal proposal evaluation process, including drafting evaluation rubrics and criteria, organizing the selection committees, and compiling/communicating results.Support the faculty proposal, selection, and awarding process for faculty-Led programs. Ensure the completion of the review process by collecting all application materials, coordinate initial review within Education Abroad Office representatives, drafting communication with sponsoring colleges and/or departments, organizing the campus-wide selection committee, and drafting notifications of awards.Plan and execute events to promote faculty-led programs and engage constituents in the campus community at large, including faculty meetings and trainings, study abroad fair promotion, student networking events, and information sessions. Develop internal communication tools (Canvas courses, handbooks, post program surveys, presentations, story highlights, social media, email, etc.) and collaborate with Texas Global Communications to create program marketing materials, including program summaries, presentations, story highlights, etc.Support the promotion of faculty-led program opportunities to departments across campus. Organize college-specific outreach events, presenting on program options and clarifying programming and application processes for faculty and departments. Collaborate with colleges and schools to provide program advising to prospective/selected faculty. Highlight strategic regions and initiatives relevant to faculty-led programs on behalf of all academic clusters to ensure fulfillment of strategic goals.Responsible for recruiting, hiring, and supervising administrative associate on the faculty-led team. Supports administrative associate in the administration of Departmentally Administered Faculty Led programs. Contributes to hiring and supervision of student workers within the faculty-led team.Contribute to broader Education Abroad activities including staff meetings, academic cluster initiatives, special projects, and committees, including office-wide strategic planning and policy development.
