We are seeking a dedicated HR/Payroll Manager to join our team. This role combines the responsibilities of managing comprehensive HR functions and overseeing payroll processing. The ideal candidate will have a strong background in human resources and payroll administration, ensuring seamless operations and compliance with all relevant laws and regulations.

• Manage stock option exercises, RSU releases, and other equity transactions, ensuring accurate and timely processing.
• Provide education and training to employees about their equity compensation, including how it works, its benefits, and potential tax implications.
• Respond to employee inquiries regarding their equity compensation, including grant details, vesting schedules, and exercise procedures.

Responsibilities:
Payroll Processing
- Calculate and process bi-weekly payroll for employees using ADP WorkForce Now for TotalSource, ensuring accurate computation of wages, taxes, and deductions.
- Review employee timesheets and attendance records in ADP to ensure accurate payment.
- Ensure accurate deductions such as benefits, retirement contributions, garnishments, and other withholdings.
- Maintain accurate and updated payroll records and employee information.
- Reconcile bi-weekly payroll for approval.
- Submit payroll through the internal review system for recording.
- Stay informed about changes in payroll multi-state laws and regulations to ensure ongoing compliance.
- Maintain HR/Payroll narratives and assist with internal and external audits by providing necessary payroll information and documentation.
- Ensure payroll practices adhere to company policies and employment agreements.
- Identify and implement process improvements to enhance payroll efficiency and accuracy.
- Participate in or lead special payroll projects, such as system upgrades, payroll integrations, or process automation initiatives.
- Respond to employee questions and concerns regarding payroll, deductions, and benefits.
- Investigate and resolve payroll discrepancies or issues, such as underpayments or overpayments.
- Maintain strict confidentiality of employee payroll and personal information.
Equity Plan Administration

Recruitment and Onboarding
- Ensure job descriptions are up to date and compliant with all local, state, and federal regulations.
- Create recruitment plans, interview schedules, and evaluation standards in accordance with HR methodologies and labor laws.
- Create and post job advertisements using the ATS.
- Maintain hiring and onboarding processes and checklists.
- Extend job offers and negotiate terms of employment.
- Enter new hire information into the payroll system and ensure proper onboarding for payroll purposes.
- Coordinate the onboarding process for new hires, including orientation and training programs.
Employee Relations
- Mediate disputes and resolve conflicts between employees.
- Conduct thorough and objective internal investigations to address employee complaints and grievances, including allegations of misconduct, harassment, discrimination, or policy violations. Prepare thorough and detailed investigation reports and provide recommendations for corrective action when appropriate.
- Conduct exit interviews and analyze feedback for improvement.
Performance Management
- Coordinate and conduct performance evaluations.
- Develop and monitor performance improvement plans for underperforming employees.
- Identify training needs and organize development programs.
Compensation and Benefits
• Oversee employee benefits programs, including health insurance, retirement plans, and other perks.
- Assist in the development of compensation strategies and salary structures.
- Work with ADP to administer benefit programs and other paperwork for employees, including managing leaves of absence, workers' compensation, and other compliance.
Compliance and Legal
- Develop and update HR policies and procedures to ensure compliance with multi-state/federal laws and regulations, including compliance with wage and hour laws (overtime and minimum wage regulations.
- Maintain employee records and HR documentation.
- Conduct internal investigations related to employee complaints or misconduct.
- Compile and submit pay data reports as required by federal or state regulations.
- Ensure compliance with benefits-related regulations and reporting requirements (e.g., ACA, ERISA).
- Assist with organizational training efforts related to human resources policies and practices, organizational development, and compliance. Conduct training for OSHA-related requirements and state sexual harassment/workplace violence prevention.
Immigration and Visa Management
- Manage visa application processes for employees, including H-1B, L-1, and other work visas.
- Ensure compliance with immigration laws and regulations.
- Verify work authorization and maintain I-9 forms.
Health and Safety
- Implement and maintain workplace safety programs, including IIPP and workplace violence prevention plan.
- Ensure compliance with Occupational Safety and Health Administration (OSHA) regulations.
- Promote employee wellness programs.
Strategic Planning
- Contribute to the development and implementation of HR strategies aligned with business goals.
- Assist in workforce planning and talent management initiatives.
- Support organizational change initiatives and manage the impact on employees.
Other Duties
- Collect and analyze HR data to generate reports and insights.
- Perform audits, as needed, on benefits information in the HRIS and benefits management system to ensure the integrity of the information.
- Manage relationships with external HR service providers and vendors.
- Maintain company organization charts and employee directory.
Requirements:
- Bachelor's degree in HR, business, psychology or another related field.
- PHR or SHRM certification required.
- Over 5 years of relevant experience in Human Resources as an HR Generalist or HR Manager ideally within tech, startup, gaming, or other fast-paced/high-growth environments.
- At least 3 years of experience processing payroll using ADP Workforce Now.
- Experience working with PEOs (Insperity, TotalSource, Etc.)
- Strong knowledge of and comfort with CA state and federal labor laws, along with experience in multi-state compliance.
- Highly organized and proficient in HRIS and data administration.
- Ability to excel in a fast-paced startup environment, managing shifting priorities and tight deadlines.
- Creative thinker with strong analytical and problem-solving skills.
- Ability to work independently, make decisions, and collaborate effectively.
- Strong work ethic, professionalism, and understanding of confidentiality and integrity requirements.
