Job Description
The Administrative Assistant will provide support to the Planners in the Hoist and Crane department by handling business correspondence, working directly with customers, scheduling, procurement, and other administrative tasks. This role involves inputting estimates, creating invoice job workups, invoicing, assisting customers via email and phone to order parts, scheduling jobs, and ordering equipment.
Responsibilities
- Provide administrative support to ensure efficient operation of the Hoist & Crane department, including job opening, inputting estimates, pre-invoice job workups, invoicing, parts ordering/Pos and parts staging, job scheduling, equipment ordering, time review, and fleet/safety planning.
- Answer phone calls, schedule meetings, and support visitors.
- Carry out administrative duties such as filing, copying, and scanning.
- Exhibit polite and professional communication via phone, email, and mail.
- Support the team by performing tasks related to requests for documentation and necessary field equipment.
- Ensure operation of various office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques.
- Provide information by answering questions and requests.
- Work with the manager and planner to support department needs for purchasing, scheduling, and customer correspondence.
- Generate reports, create presentations, and conduct research.
- Arrange needed materials, technology, and catering for company events and training.
- Work in various company systems to accomplish operating, sales, and accounting duties (CRM, ERP, Scheduling Software, Timekeeping Software, etc.).
- Maintain supply inventory by checking stock to determine inventory levels, anticipating needed supplies, placing and expediting orders for supplies.

- Prior administrative experience creating reports using pivot tables
- Self-motivated, highly organized, and detail-oriented
- Superb time management and multi-tasking abilities
- Expert proficiency with Microsoft Office (Excel, Word, Outlook) and Teams
- Exceptional written and verbal communication skills
- Desire to be proactive and create a positive experience for others
- Prior administrative/service support experience (scheduling, dealing with customers, inputting invoices, providing quotes)
