We have an opening for an Administrative Assistant in Charlotte, NC.
Position Summary:
As an Administrative Assistant at DLR Group, you will be the first point of contact for our vendors and visitors. You will be responsible for greeting and providing a welcoming environment to all visitors, answering incoming calls, performing ad hoc administrative tasks, and assisting with project-based support duties as needed. Additionally, you will be tasked with meeting coordination, presentation set-up and breakdown, and overall office organization. This position is 100% on-site, M-F, during business hours.
What you will do:
- Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
- Greet persons entering the establishment, determine the nature and purpose of the visit and direct or escort them to specific destinations.
- Operate office equipment such as fax machines, copiers, phone systems, and conference room equipment and arrange for repairs when equipment malfunctions.
- Schedule and set up space or equipment for meetings and special events.
- Coordinate lunch orders.
- Maintain shared resources and calendars.
- Coordinate scheduling of conference rooms and shared resources.
- Collect, sort, distribute, or prepare mail, messages, shipments, or courier deliveries.
- Maintain supply inventories and order materials or equipment asneeded.
- Learn to operate new office technologies as they are developed and implemented.
- Search files, databases, or reference materials to obtain needed information.
- Assist in financial processing as needed.
- Assist in onboarding new hires.
- Assist with reprographic requests, such as printing and binding.
- Assist with unique travel scenarios and assist as unexpected circumstances arise.
- Maintain a clean and organized office environment, including kitchen, break areas, and supply rooms.
- 3 or more years administrative assistant experience.
- Proficient with Microsoft Office Suite.
- Excellent communication skills, both verbal and written.
- Proactive, independent thinker possessing a high attention to detail and ability to prioritize.
- Working knowledge of business procedures and office equipment.
- Previous experience in hospitality or customer service environment.
- Experience in architecture, engineering, or construction (A/E/C) industry.
- Experience and knowledge using AIA software.
