We have an opening for an Administrative Assistant. We operate within a hybrid work model, supporting flexibility between office time and work from home. Considering this model, this role could be based in the following cities:

* Chicago

Position Summary:

As an Administrative Assistant at DLR Group you will be the first point of contact for our vendors and visitors. You will be responsible for greeting and providing a welcoming environment to all visitors, answering incoming calls, performing ad hoc administrative tasks and assisting with project-based support duties as needed. Additionally, you will be tasked to aide with meeting coordination, presentation set-up and break down, and overall office organization. This position is 100% on-site, M-F, during business hours.

What you will do:

* Greet all visitors and vendors providing guidance of the office space.

* Answer all incoming calls and route to the correct location.

* Perform basic accounting tasks such as order entry and expense reporting.

* Provide project-based support for various firm projects and initiatives.

* Maintain overall office organization and cleanliness.

* Coordinate conference rooms events and meetings.

* Make travel reservations, manage office calendars, and distribute mail.

Required Qualifications:

* 3 or more years administrative assistant experience.

* Proficient with Microsoft Office Suite.

* Excellent communication skills, both verbal and written.

* Proactive, independent thinker possessing a high attention to detail and ability to prioritize.

* Working knowledge of business procedures and office equipment.

Preferred Qualifications:

* Previous experience in hospitality or customer service environment.

* Experience in architecture, engineering, or construction (A/E/C) industry.

* Experience and knowledge using AIA software.
