We are seeking an organized and proactive Executive Assistant to support senior leadership by managing meetings, overseeing project coordination, and preparing critical documents. The selected candidate will be instrumental in organizing high-level activities, enhancing the efficiency of daily operations, and supporting the Director in various capacities.

General Duties:
• Meeting Coordination and Management:
o Organize, schedule, and manage high-level meetings, ensuring all logistics, documentation, and guest arrangements are in place.
o Prepare materials for meetings by gathering necessary documents, coordinating guest invitations, and developing presentations.
• Project and Event Management:
o Support project management activities, ensuring timely delivery of tasks and maintaining project documentation.
o Plan and coordinate events, managing schedules, logistics, and communication to guarantee successful execution.
o Show initiative in identifying and solving project-related issues, enhancing project flow and effectiveness.
• Technical Writing and Research:
o Conduct research on assigned topics, preparing technical documents and reports that support informed decision-making.
o Write, review, and edit memoranda and high-level correspondence for the Director’s review, ensuring clarity and alignment with organizational goals.
• Prioritization and Issue Management:
o Manage a diverse range of projects, prioritizing tasks in consultation with leadership to maximize impact and efficiency.
o Provide recommendations on issue prioritization and workflow enhancements to facilitate smooth leadership operations.
Qualifications:
• Educational Background:
o Bachelor’s degree with three (3) years of experience in executive support, project coordination, or a related field,
o OR no degree with six (6) years of experience in executive support, project coordination, or a related field.
• Administrative and Organizational Skills:
o Exceptional organizational skills with a proven ability to manage multiple projects, schedules, and responsibilities efficiently.
o Strong project management skills with a background in event planning and high-level administrative support.
• Communication and Writing Proficiency:
o Excellent written and verbal communication skills, with experience drafting technical documents, memoranda, and high-level correspondence.
o Ability to present information clearly and professionally, both internally and externally, and maintain a high level of discretion.
• Problem-Solving and Initiative:
o Demonstrated ability to take initiative, identify and solve issues proactively, and make recommendations that support leadership priorities.
o Comfortable working independently while maintaining a collaborative approach with internal teams and senior leadership.
