Position Summary:
We’re seeking a proactive and detail-oriented Administrative Assistant to support our Fleet Operations department. This role will assist with daily administrative tasks, streamline communication, and facilitate operations to ensure smooth and effective workflows within the team.

Key Responsibilities:

  • Provide administrative support to Fleet Operations, including document management, scheduling, and maintaining records.
  • Handle data entry and track fleet inventory, maintenance schedules, and work orders.
  • Assist in preparing reports and presentations for operational meetings.
  • Coordinate with vendors and suppliers to maintain fleet needs.
  • Organize and schedule meetings, appointments, and travel arrangements.
  • Support billing and invoicing processes, tracking expenses related to fleet maintenance and operations.
  • Respond to internal and external inquiries, providing information as needed.
  • Perform general office duties such as filing, ordering supplies, and coordinating office equipment maintenance.

Qualifications:

  • High school diploma or equivalent; associate degree preferred.
  • Proven experience in an administrative role, preferably in fleet or logistics operations.
  • Strong organizational skills with the ability to multitask and prioritize work effectively.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with fleet management software is a plus.
  • Excellent communication skills and a high level of attention to detail.
  • Ability to work independently and collaboratively in a team environment.
