Description

Clark College is currently accepting applications for a full-time, permanent classified Program Specialist 2 in the Office of Instruction department. The Program Specialist 2 plays a key role in the oversight and development of the catalog and quarterly class schedule in a complex system through the input of instructional curricular and programmatic data to provide students, faculty, and staff with accurate and timely class schedule.

JOB DUTIES AND RESPONSIBILITES:

Maintain a high level of productivity and efficiency to complete all necessary work accurately within given deadlines with minimal supervision and dependence on other staff; help ensure utmost accuracy in course and schedule information. Organize, prioritize, and manage workflow to meet project deadlines and ensure smooth operations; maintain work in a highly organized and detail-oriented manner. Identify and correct incorrect or missing data in a timely manner. Seek and act on opportunities to improve, streamline, and re-invent work processes, particularly after obtaining a better understanding of why the current state exists. Solve complex scheduling issues. Determine how nonconforming course/class requests are coded. Ensure effective, accurate and efficient class/course scheduling. Check schedule submissions for compliance and errors. Help refine and perform the quarterly comprehensive class schedule review for accuracy; run queries to cleanup and verify information on courses and classes created. Review course and class fees for accuracy before students register for classes; verify that the correct fee codes are attached to classes. Add FDDA fees/notes to classes each quarter; collaborate with bookstore staff to obtain FDDA data. Collaborate with Registration, Office of Instruction staff, unit leadership and other areas of the college to improve and enhance accuracy of class information and class scheduling. Serve as backup for 25LivePro. Perform any required data cleanup on a quarterly basis. Maintain and update the course fee spreadsheet and the course/class cap (class capacity) spreadsheet as changes are made to fees and caps. Provide excellent customer service as well as develop/maintain productive/strong working relationships. Contribute as a department team member, supporting goals and department policies and procedures, support teamwork, cooperation, and contribution through open and honest communication. Create new and update existing course listings. Verify credits and grading. Assign codes, fees, prerequisites, footnotes, and class descriptions. Create/add or update academic organizations/subjects to tables. Complete and maintain an up-to-date comprehensive desk manual. Serve as a system expert for all campuses; troubleshoot system issues; resolve complex conflicts/questions associated with ctcLink course and class scheduling. Submit help desk tickets; track and monitor help desk ticket submissions for successful and timely resolution. Perform related duties as required. Qualifications

POSITION REQUIREMENTS AND COMPETENCIES: Candidates will be evaluated based on application materials, including the supplemental questions and personal interview(s), and will be required to demonstrate competencies in the following areas:

Associate degree or equivalent experience. One (1) year of experience in reviewing and analyzing complex data. Strong computer skills; maintain strong working knowledge in PeopleSoft for course scheduling/construction and Microsoft Office Suite. Supplemental Information

The initial appointment will include a 6-month probationary period, and the employee will earn permanent status after successfully completing probation.
