Position Summary

The Department of Dental Medicine has an exciting opportunity foran experienced full-time Admin Assistant to the Executive Director. As animportant member the Admin Assistant will directly provide day to day supportto the Department Chair and leadership.
The ideal candidate will have experience working at the executivelevel in an academic or medical/dental administrative office. The successfulcandidate will be able to act independently, with multiple ongoing priorities,and demonstrate exceptional skill at anticipating needs based on existingknowledge. The individual must be detail-oriented, an experienced multitaskerwith a wide variety of technical skills, exceptionally well organized and outgoing. Excellent oral and written communication skills must be demonstrated throughapplication materials and interviews. The ability to maintain confidentialityis paramount.
The Admin Assistant to the Executive Director's duties include: Overseeing and administering the day-to-day activities of the office such as handling walk-up and phone interactions, maintaining calendars and travel arrangements, screening, analyzing, and responding to incoming correspondence, handling day-to-day problems and situations, and provision of secretarial support Providing assistance to the Department Administrator in problem solving, project planning and management, and development and execution of stated goals and objectives. Performing research/analysis on specific issues and independently prepare non-routine letters and/or reports. Serving as a primary point of direct administrative contact and liaison with other offices Organizing and facilitating meetings, conferences, and other special events Coordinating resolution of individual problems and disputes involving faculty, staff, students, and/or members of the general public, as they arise in partnership with the Department Administrator. Overseeing the operation of office/administrative accounts and office purchasing Assisting in the coordination, supervision, and completion of special projects Assisting in the navigation of School of Medicine procedures
Minimum Qualifications: High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified. Completed degree(s) from an accredited institution that are above theminimum education requirement may be substituted for experience on a year foryear basis.
