Position Summary

The University of New Mexico's Continuing Education Department (CE) is seeking an Administrative Assistant to join our team and assist with operational duties such as hiring, reporting, training, and payroll. As an Administrative Assistant 2, you will be responsible for the administration of hiring, payroll and a variety of HR processes and policy adherence. You will serve as the onboarding specialist, guiding new hires through the process of becoming a UNM employee. You will serve as a liaison with the HR Department, stay up to date with position changes, and prepare payroll and narrative reports for our department. You will work with our Instructors, providing guidance with procedures and mandatory compliance requirements. You will help create reference documents and training materials for the staff and produce payroll and office reports. You will also be able to serve as backup support in the Registration Office. This position requires working in the office full time, as well as having the ability to work remotely as required.

Duties and Responsibilities include: Coordinate onboarding procedures, emails, workflow, and documents for new hires. Guide & participate in hiring committees. Administrate technical aspects of job postings and keep hiring documents and processes organized. Advise & guide CE staff on all hiring tasks, deadlines, requirements, etc. Assist Operations Manager preparing and posting timesheets for department. Manage staff employment adjustments with EPANS & EPAFS. Organize administrative-level instructor information and serve as a point person for basic instructor inquiries documents, and training. Provide support for day-to-day administrative and operational problems. Sustain a high level of professionalism with staff. Stay updated on changes in CE policies, UNM policies, and HR policies. Backup for Registration Office; assist customers with their registration, cancellation, and/or refund. Maintain general administrative/office duties. Other duties and projects as assigned. Conditions of Employment

If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required. All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement. Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Time Entry Experience Proven effective customer service skills with a knack for patience, clarity, and authority. Commitment to continuous and efficient quality improvement. Ability to balance policy and regulations with empathy. Strong written and verbal communication skills. Effective organizational and detail-oriented skills. Proficiency in MS Office applications, Word, Outlook, Excel, Adobe. Database experience. Proven track record of integrity and confidentiality. Resourceful abilities to plan, develop, coordinate, and complete multiple tasks and projects in a timely manner. Experienced working collaboratively with coworkers and teams. Demonstrated success in self-motivation, with the ability to learn quickly.
