MINIMUM REQUIREMENTS:

A bachelor's degree from an accredited college or university and three (3) years of administrative experience.

A master's degree from an accredited college or university can substitute for one year of the required experience.

Administrative or clerical experience can substitute on a year-for-year basis for the required college education.

An equivalent combination of education and experience which equals five (7) years can substitute for the above requirements.

JOB DUTIES:

Evaluates needs, manages resources, and provides direction for effectiveness in meeting goals and objectives of the Bureau of Quality Management.

Independently maintains user accounts in applications such as Paradigm 3 and FSLIMS. Sets up new accounts with required roles. Ensures proper approvals are in place according to requested accounts and roles. Creates personnel folders for new laboratory personnel. Disables accounts when employees separate and notifies appropriate supervisors in the appropriate bureau when a critical role becomes vacant.

Maintains district training and standardization tables for Quality Management and Food Inspection employees.

Develops and maintains Division wide new employee and new supervisor training notification system. Follows up to ensure compliance and properly routes required forms.

Maintains applicable organization charts in Paradigm 3.

Prepares materials for training events including the annual training workshop, retail laws and rules courses, and FDA training courses. Prepares and distributes training materials. Ensures rosters are completed and attendance is properly documented.

Prepares Quality Management training and travel cost estimates.

Serves as Certified Food Protection Manager Liaison working with vendors and employees to ensure required certification is maintained.

Responsible for routine Quality Management Bureau supply purchases, receipt, and distribution according to all applicable Department and Division policies and procedures.

Compile and print Bureau of Quality Management hiring packages.

Responds to disaster or emergency situations and operates under Division response command structure when required. Periodically handles emergency or request calls. Some tasks will require evening, weekend, and/or holiday activity, including overnight and/or extended travel.

Performs other related duties as required.

KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of department policy and procedure. Knowledge of document control procedures. Skill in using Microsoft Power Point, Word, Excel, and Outlook. Skill in using Adobe Pro Skill in using copy and scanning equipment, lamination equipment, hole punch, and binding equipment. Ability to communicate effectively verbally and in writing.
