Fiscal Specialist 1 Under the direction of the Program Operations Manager, this position provides a variety of fiscal and program support which includes: invoicing sponsors, processing payments to vendors, database management, purchasing, budget reconciliations, tracking bills, preparing reimbursements and updating established records/trackers to monitor and report the progress of the studies run by the program. DUTIES AND RESPONSIBILITIES Reconcile program budgets using the Clinical Trial Management System, OnCore and Workday ensuring that all expenditures are duly reviewed and approved and all transactions are appropriately documented and in compliance with the University policies. Collaborate and work closely with the THN team in maintaining and updating multiple tracking systems for THN studies providing support in invoicing and collection as needed. Process travel, petty cash, and other reimbursements in compliance with UW, State and Federal policies through the Workday system. Process payments for bills received using ARIBA system. Provide program support as needed for regular program meetings and activities, including facilities/move requests. Set up and maintain efficient and organized fiscal records for the program, including electronic version saved on the program’s shared folders. Responsible for record management and retention. Perform other fiscal and administrative duties as requested. Invoice on an ongoing basis, track and follow up on outstanding invoices. Apply payments to study activity, performing regular financial reconciliation of clinical trial activity and keep up to date reports regarding outstanding revenue and expenses. Assist in budget deficit reporting quarterly, or as requested by Division. Assist in preparation and compilation of financial reports. MINIMUM QUALIFICATIONS Three years of fiscal record keeping experience, or equivalent education/experience. ADDITIONAL REQUIREMENTS Experience with Microsoft Excel and Outlook. Strong communication skills, organizational skills, and attention to detail. Must be highly organized, service-oriented, flexible and resourceful. Self-management and independent judgment is essential to the success of this position. DESIRED QUALIFICATIONS Bachelor’s Degree in Business and Accounting, Health Sciences, or related field or equivalent related education/experience. Experience with grant, clinical trials and gift budgets. Experience with Microsoft Teams. Experience with UW systems (Workday, SAGE, Procard, CTMS OnCore) and other databases and knowledge of UW policies and procedures relating to Procurement, Travel, Record Retention, Inventory Management etc. Advanced level knowledge on Microsoft Excel. Familiarity with medical or scientific terminology. Application Process:
