Job Title: Office Manager

Office Manager Position Overview:We are seeking a highly organized and detail-oriented Office Manager to oversee daily office operations and provide administrative support to ensure the smooth and efficient functioning of the office. This position is responsible for a variety of functions including administrative tasks, marketing and customer service activities, regulatory compliance management, and other tasks as necessary to support the overall success of the organization.

Office Manager Key Responsibilities:

Office Operations Management

Oversee daily office operations to ensure efficiency and organization.

Maintain office supplies, equipment, and systems, ensuring that the office runs smoothly.

Coordinate office space usage, cleanliness, and maintenance.

Administrative Support

Provide administrative support to management and staff, including scheduling meetings, managing calendars, and handling communications.

Prepare and manage office documents, including correspondence, reports, and presentations.

Organize and maintain office filing systems, both physical and digital.

Marketing Support

Assist with the development and implementation of marketing strategies, including managing social media platforms, website updates, and promotional materials.

Coordinate events, conferences, and client engagement initiatives.

Track and report on marketing campaigns and their effectiveness.

Customer Service Functions

Serve as the primary point of contact for customers and clients, addressing inquiries and providing support as needed.

Handle customer complaints and feedback professionally, aiming to resolve issues promptly.

Manage client communication, ensuring a positive and responsive customer experience.

Regulatory Compliance

Ensure office and company compliance with all applicable legal and regulatory requirements.

Maintain up-to-date knowledge of industry regulations and assist with compliance audits and reporting.

Assist in the preparation and submission of required regulatory documents and forms.

Additional Administrative Tasks

Handle special projects and tasks as assigned by management.

Assist with budgeting and financial tracking related to office operations and supplies.

Coordinate with external vendors and service providers for office needs.

Qualifications:

Bachelors degree in business administration or related field preferred.

Minimum of 3 years of experience in office management or a similar administrative role.

Strong organizational and multitasking skills.

Excellent communication skills, both written and verbal.

Proficient in office software (Microsoft Office Suite, Google Workspace, etc.).

Basic knowledge of marketing and customer service principles.

Familiarity with regulatory compliance standards and practices is a plus.

Strong attention to detail and problem-solving skills.
