Job Title: Administrative Assistant

Location: Guam

Job Type: Full-Time

Reports To: Restaurant Manager/Owner

Job Overview: We are seeking a highly organized and proactive Administrative Assistant to support the daily operations of our client's restaurant in Guam. The successful candidate will play a key role in managing administrative tasks, improving office systems, and ensuring smooth communication between staff, customers, and management. Key Responsibilities:

  • Administrative Support:

    • Provide general administrative support to the restaurant management team.
    • Answer phone calls, emails, and other forms of communication in a timely and professional manner.
    • Handle customer inquiries, reservations, and feedback as needed.
    • Maintain and organize office files, documents, and schedules.
  • Scheduling and Coordination:

    • Assist with employee scheduling, ensuring optimal staffing levels for smooth operations.
    • Coordinate meetings, events, and other activities as requested by management.
    • Help manage inventory and supply ordering to ensure restaurant needs are met.
  • Billing and Financial Support:

    • Assist with basic bookkeeping, including tracking invoices, processing payments, and managing petty cash.
    • Ensure accurate record-keeping for financial documents and transactions.
    • Prepare and submit reports related to daily operations as needed.
  • Customer Service:

    • Ensure a positive customer experience by managing inquiries and resolving issues efficiently.
    • Support front-of-house operations by assisting with customer requests and providing information about the restaurant.
  • Office Management:

    • Maintain a clean and organized office environment.
    • Order and maintain office supplies and equipment.
    • Assist with administrative aspects of restaurant promotions or marketing efforts.
  • Human Resources Support:

    • Assist in the recruitment and onboarding process for new staff.
    • Maintain employee records, track attendance, and assist with payroll preparation.
    • Handle confidential employee information with discretion and professionalism.

Qualifications:

  • Education: High School Diploma or equivalent (Associate's or Bachelor's Degree in Business Administration or related field preferred).
  • Experience: Minimum 1-2 years of experience in an administrative or customer service role, preferably in the restaurant or hospitality industry.
  • Skills:
    • Strong organizational skills and attention to detail.
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Basic knowledge of bookkeeping and financial record-keeping.
    • Ability to multitask and manage time effectively in a fast-paced environment.
    • Knowledge of restaurant operations and customer service practices is a plus.
    • Bilingual in English and Chamorro or Tagalog is a plus but not required.

Working Conditions:

  • Hours: Full-time, with occasional evenings, weekends, or holidays based on restaurant needs.
  • Location: On-site at the restaurant.
  • Physical Requirements: Ability to sit or stand for extended periods, occasionally lift up to 20 pounds, and work in a busy, dynamic environment.
