Primary Function: Reporting to the Manager of Information Technology, the Administrative Assistant provides support to the Office of Information Technology and is responsible for the day-to-day operations. Duties and Responsibilities: Provides administrative support to the School's Information Technology departments as needed. Assists in handling and responding to service calls received on the technical support hotline. Gathers details of issues from the requesters and either provides troubleshooting tactics over the phone or routes the request to an appropriate member of the support team. Maintains records of customer interactions and requests through the UService IT service management platform. Includes details of inquiries, technical issues, internal notes, and a description of actions taken to resolve the request. Responsible for being the primary contact to requesters and keeping them updated on the progress of resolving their support requests. Informs requesters of planned adjustments and follows up with support staff to ensure issues are resolved in a timely manner. Elevates complaints to management for further investigation as needed. Processes orders for the technology equipment, consumables, and software as requested by the managers of the Office of Information Technology. Reviews accounts and oversees all purchases made to ensure costs stay within the allocated budgets. Reconciles purchases made with procurement credit card. Prepares expense reports, purchase orders, work orders, check requisitions, etc. Procures, maintains, and distributes office supplies and/or equipment. Reports printer issues to the Office of Facilities and Infrastructure. Participates in Office of Information Technology meetings and records minutes as needed. Serves as liaison between the department and the Office of Student Services for the hiring of the department's student employees. Performs other duties as assigned. Knowledge, Skills, and Abilities: Knowledge of routine office practices and procedures. Knowledge of simple data processing and transmission principles. Ability to utilize computerized information systems. Ability to understand and follow oral and written instructions. Strong interpersonal, communication and listening skills Skill in data entry or typing. Proficient in Microsoft Excel and Word Education and Experience Requirements: High School diploma or equivalent and 3 years related work experience.
