The Department of Facilities Services and Campus Operations has an outstanding opportunity for a Temporary Fiscal Specialist 2 (NE S SEIU 925 Non Supv) to join their team. POSITION PURPOSE Procurement focused role for the Facilities division. Main duties include purchasing, budget reconciliation, internal and external billing, and reporting. DUTIES AND RESPONSIBILITIES Procurement High volume purchasing for Facilities Services & Campus Operations departments (Campus Safety, Campus Services, Sustainability, Commuter Services, Maintenance, Custodial, and Grounds & wetlands) as well as providing support for partner departments, including Physical Planning & Space Management. Collaborate with the Budget Fiscal Analyst to determine available procurement sources, including applicable contracts. Coordinate the purchase of large equipment, including vans, cars, trucks, and electric carts. Coordinate with Department of Licensing and Fleet Services for vehicle registration and fleet incorporation as needed. Requesting and/or researching related documentation applicable to procurement needs.Departmental Billing Using WorkDay to create invoices for UW departments and upload them into the system for processing. Create invoices for Cascadia College, external event patrons, and other outside entities for FS&CO services. Field billing/payment questions from customers, investigate and identify issues, research and resolve accounting discrepancies. Process journal entries or issue credits to resolve budget errors or resolve billing disputes. Monthly, provide an updated accounts receivable report to Cascadia College and other external entities. Notify the Finance Manager of outstanding payment issues that need to be escalated.Fiscal teamwork & Communication Collaborate with the Fiscal Team and the Finance Manager regularly, including meetings and training. Provide back-up coverage for other fiscal positions as needed. Communicate with FSCO division partners. Assist with the development and updating of fiscal related procedures.Budget Reconciliation Reconciliation of personal ProCard. MINIMUM REQUIREMENTS Three years of experience providing administrative support in the area of fiscal and/or business management, or equivalent education/experience. ADDITIONAL REQUIREMENTS Ability to work and communicate effectively with diverse stakeholders, including teammates, vendors, and campus partners. Ability to manage high-volume workloads by multitasking, coordinating, and communicating with peers and vendors. Excellent written and verbal communication skills, with a strong focus on clarity and conciseness. Demonstrated experience in working on diverse groups and teams; respects, values, and contributes UW’s commitment to diversity, inclusion, and equity. DESIRED REQUIREMENTS Experience with financial business operations including financial accounting, budget management, procurement, and reconciliation.
