Position Summary & Responsibilities
Position Summary: Performs office support duties of a clerical or secretarial nature. Duties may be comprised of general office duties along with some specialized duties. Incumbents in these positions sometimes but rarely report to the high-level managerial positions.
Job Responsibilities may include but are not limited to the following:
Types forms, letters, direct discharges, conditional release, etc. for Unit Team using computer. Supervisor or Records Unit Senior Administrative Assistant reviews this for accuracy and to verify deadlines are met. Copies, mails, and distributes Unit Team material. This is reviewed by supervisor or Records Unit Senior Administrative Assistant to meet critical deadlines.
Admissions
* Interview youth residents upon admission to KJCC.
* Input data from interview into JCFS & Database.
* Assist with scheduled intakes to include filling out proper forms, downloading proper documents, and sending out to pre-established email distribution group.
* Assist with entering new admission information into computer system and completing the letters and forms needed.
Filing
* Scans all daily documents for juveniles into Docuware
* Maintains old master files in the appropriate location for at least 15 years.
General Office Duties
* Records population movement on the Daily CDR and JCFS daily.
* Records address changes on youth resident's card.
* Assists administrative support staff from other departments and divisions as needed.
* Makes Parent Packets, RDU Admission Packets.
* Schedules ISO/Foster Care Contract Agency visits
Other Duties as assigned.
While performing the above duties, the incumbent will maintain satisfactory and harmonious relationships with fellow employees and the public.
Must be capable of performing Essential Physical Functions (See attachment to Position Description)
* Regular and predictable attendance is an essential function of this position
Qualifications
* Education: HS Diploma or GED
Minimum Qualifications: Six months of experience in general office, clerical or administrative support work. Education may be substituted for experience as determined relevant by the agency.
Post-Offer, Pre-employment Requirements: Must pass a preemployment background check, TB test and drug screen.
