The Conflicts Administrative Assistant will assist the conflicts department with administrative functions and is responsible for the initial screening of new business intake forms and lateral candidate questionnaires. This role performs routine administrative and organizational tasks utilizing software programs and following detailed procedures. More complex tasks may be assigned under supervision and with appropriate training.

Responsibilities

  • Initial screening of NBI request forms to ensure forms are properly filled out and include all necessary information
  • Initial screening of lateral candidate questionnaires to confirm forms are properly completed and request additional necessary information
  • Respond to standard departmental email inquiries or escalate to the proper team member for response
  • Maintenance of Client Terms database and tracker, Confidential Client List, Lateral Candidate Tracker, etc.
  • Data clean-up and closing projects
  • Create initial redlines on engagement letters and updated client terms for review by others
  • Ethical wall and Conflict Alert Notice management
  • Departmental filing
  • Other duties as assigned

Qualifications

  • Bachelor’s Degree, or any combination of training, education and experience that demonstrates the ability to perform duties of the position
  • A minimum of two (2) years of law firm experience preferred
  • Strong verbal and written communication skills with a client service approach
  • Exceptional organizational skills
  • Detail oriented with demonstrated ability to multitask
  • Demonstrated ability to independently plan and coordinate work with others as necessary to bring projects to successful completion
  • Excellent interpersonal skills and ability to work well in a team environment and follow instructions
  • Ability to work with and maintain confidential information
  • Ability to communicate with attorneys and firm personnel at all levels
  • Proficiency in Microsoft Word and Excel
  • Ability to work overtime if needed
