What You'll Do
- Act as the right-hand support to our leadership team, ensuring their day runs smoothly.
- Coordinate with retirement account vendors and handle sensitive administrative tasks with confidentiality and professionalism.
- Maintain organized schedules, including calendar management and meeting coordination.
- Oversee and manage all digital (Dropbox) and physical filing systems.
- Plan and execute monthly safety meetings, including selecting topics and preparing materials.
- Welcome new clients by preparing and distributing personalized welcome packets.
- Manage vehicle-related paperwork, including registration, insurance, and GPS tracking.
- Purchase and maintain office and kitchen supplies, coordinating with cleaning services as needed.
- Handle IT matters and call customer service with technology/connectivity/performance issues.
- Update and maintain company calendars, ensuring timely internal communication.
- Post pictures of completed projects and assist with job site signage orders.
- Assist with special projects and unexpected challenges, bringing creativity and resourcefulness to every task.
- Exceptional organizational skills with a proactive mindset.
- Strong written and verbal communication abilities.
- Proficiency in tools like Dropbox, Microsoft Office Suite, and Google Workspace.
- Experience in administrative or office assistant roles (preferred).
- Comfortability and knowledge with the basics of IT.
- Ability to multitask and adapt to shifting priorities.
