Job duties:
May be required to record and/or transcribe meeting minutes involving technical, medical, financial, legal, or investigative terminology.
- Schedule meetings for supervisors and coordinates calendars for investigators and departmental personnel.
- Prepare replies to correspondence from brief notes or on own initiative; conduct research as needed files, databases, and a variety of source material to serve as a background for reports dictated by supervisors; and coordinate information sent out to other City departments and outside agencies.
- Establish and maintain cross-referenced electronic and/or paper files; and establish electronic and/or hardcopy file categories.
- Screen visitors, telephone calls, and incoming faxes, mail, and e-mail, personally answering those inquiries which, in the employee's judgment, do not require the supervisor's attention.
- Conducts basic investigative inquiries for the division that might include analysis of documents and databases.
- Acts as back-up when needed to prepare requisitions, purchase orders and payment vouchers, and other data; receive and issue receipts for monetary transactions; prepare travel advances and/or travel reimbursement; monitor budget expenditures; and track purchases made by division with city credit cards.
- Compose or verbally transmit work orders, work schedules, and office activities; and distribute and review work prepared by other clerical personnel for form, accuracy, and adherence to office policy.
- May process documents or key basic personnel, time and leave actions approved by supervisors or managers within their division into the City's enterprise financial and human resources automated software application; and maintain division personnel files.
- Operate standard office machinery.
- Perform other job duties requiring skills, knowledge and physical requirements as demanded by those duties described or less. Individual assignments will be determined by the supervisor based on current workloads and department needs.
