Position Summary:
We are seeking a temporary full-time Executive Assistant to support the agency's Chief Operating Officer. As the Executive Assistant, you will play a critical role in ensuring the smooth operation of our organization. This role is responsible for managing an extremely active calendar, composing confidential correspondence, and handling various administrative tasks. If you are a self-starter with excellent time management skills and the ability to work independently, we want to hear from you.
Key Responsibilities: Maintain comprehensive and accurate records Provide administrative assistance, including composing emails, letters, and memos Organize meetings and manage the Chief Operating Officer's calendar File and retrieve corporate records, documents, and reports Coordinate filing and review of reports before submission Oversee collection and submission of grant reports in various systems Reconcile credit card statements and submit documentation to the finance department Act as a point of contact and liaison among employees and clients Manage information flow, including sorting and distributing incoming communications Screen and direct phone calls Prepare presentations, agendas, reports, and other documents Perform minor accounting duties Use various software, including word processing, spreadsheets, databases, and presentation software Provide general administrative support and other duties as needed Qualifications/Requirements:
Minimum of 10 years' experience in the administrative field with 5 years' experience working with C-Level executives Excellent communication and time management skills; proven ability to meet deadlines Ability to work independently and demonstrate self-initiative to complete tasks Ability to function well in a high-paced environment and perform additional duties as assigned Current New Jersey driver's license with a driving record of at least three years Vehicle with current registration and insurance Culture Fit:
