Position Type: Secretarial/Clerical/Secretary Date Posted: 11/15/2024 Location: Lakes Community High School Closing Date: 11/30/2024 GENERAL INFORMATION TITLE Attendance PSP LENGTH OF CONTRACT 208 days REPORTS TO Deans of Students EVALUATION Evaluation Completed by Dean of Students POSITION SUMMARY: The job of Attendance PSP is done for the purpose(s) of ensuring accurate attendance accounting; resolving attendance related issues; ensuring compliance with state reporting and documenting requirements; conveying attendance related information to appropriate parties; and providing general clerical support, information and/or direction as may be assigned at the school site. QUALIFICATION - EXPERIENCE - KNOWLEDGE: High School diploma/GED is required A minimum of one year of previous office experience preferably in a school setting Excellent computer abilities with Google Applications and other business related software products Experience working with copiers, fax machines and other office equipment ESSENTIAL FUNCTIONS: Maintains a high level of ethical behavior and confidentiality when dealing with student and staff information for the purpose of ensuring compliance with district, state, and federal regulations Communicates with students, teachers, parents, district employees, etc. (e.g. courtesy calls to parents, attendance history, parent letters, passes to students, etc.) for the purpose of resolving problems and coordinating activities and processes Maintains a wide variety of manual and electronic attendance records, schedules, and files (e.g. contact and telephone logs, student attendance, etc.) for the purpose of documenting activities and/or providing reliable information Notifies parents and/or guardians of student absences for the purpose of meeting county, state, and federal requirements Obtains attendance records for student entry and exit from campus during school hours (e.g. admission slips, late notices, class release forms, etc.) for the purpose of ensuring accurate reporting of excused absences and truancies Prepares attendance-related reports and written materials (e.g. standardized/special reports, letters to parents, passes for students, incoming calls on attendance slips, etc.) for the purpose of conveying information regarding school and/or district activities and procedures Processes documents and materials (e.g. discrepancies, corrects errors in attendance records, changes unverified absences to unexcused, attendance codes, etc.) for the purpose of disseminating information to appropriate parties Researches and resolves discrepancies of attendance information and/or documentation for the purpose of ensuring accuracy of attendance data before processing (e.g. onsite, offsite, homebound, etc.) Coordinate with offsite centers to ensure accurate attendance data (e.g. omitted personnel, students, etc.) Provides student attendance information to staff, parents, and administrators as requested; maintains communication with faculty regarding field trips, athletic events, special programs and other special events to properly account for all student attendance Works cooperatively with administrators and data processing personnel to develop or revise automated student information systems and programs for the purpose of efficiency and to meet District needs Manage all lock and locker information including maintenance, distribution, and ordering of supplies as needed Refers homework to suspended students upon parent request Reviews notes brought by students for forgeries and other discrepancies; carefully audits all lists and files to eliminate legitimate reasons for absence before referring students to the deans' office OTHER FUNCTIONS: Procures supplies and materials for the purpose of maintaining availability of required items Participates in training for the purpose of providing or receiving information and updating skills as changes occur in district software Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the school district Supports and serves as backup to other Professional Support Personnel (PSP) to provide assistance and coverage with their functions and responsibilities as needed. SKILLS REQUIRED: Ability to demonstrate regular attendance and punctuality Ability to perform several tasks concurrently under varying deadlines and adapt to changing work priorities Ability to maintain a professional demeanor in all situations and must be able to withhold confidential information Ability to exercise tact, good judgment, and initiative in dealing with students, faculty, and parents/guardians Ability to communicate with diverse groups Ability to operate standard office equipment including using pertinent job related software applications and preparing and maintaining accurate records Ability to work well with all levels of internal management, staff, and students as well as parents/guardians Ability to communicate clearly and concisely, both orally and in writing including clear, polite telephone communication skills and the use of proper grammar and punctuation to write routine reports and correspondence Ability to work effectively as part of a team and with frequent interruptions Ability to set work priorities and work efficiently under minimum supervision Ability to collect, consolidate, and distribute student absence information in a short period of time PHYSICAL REQUIREMENTS: Employees in this position must have the ability to sit for extended periods of time; enter data into a computer; operate standard office equipment; use a telephone; see and read a computer screen and printed matter with or without vision aids; hear and understand speech at normal levels and on the telephone; speak so that others may understand at normal levels and on the telephone. WORK ENVIRONMENT: The usual and customary methods of performing the job's functions require the following physical demands; some lifting, carrying, pushing and/or pulling and significant finger dexterity. Generally the job requires 90% sitting, 5% walking, and 5% standing. There will be an annual performance evaluation for this position.
