Position Overview: Our client is seeking an experienced Estate Manager/Personal Assistant to oversee their homes in the United States and abroad. This is a newly created position that reports directly to the Principals and involves managing their properties (NYC, Connecticut, Florida, and Montana) while coordinating household staff and vendors to ensure smooth operations. This hands-on role is ideal for a personable and service-oriented professional who excels in both estate management and personal support functions. Key Responsibilities:

Estate Management & Operations:

Oversee daily operations of multiple properties, ensuring a high standard of service and maintenance. Supervise household systems (HVAC, security, automation, etc.), coordinate regular inspections, and schedule necessary repairs and upkeep. Develop and update manuals, checklists, and logs to streamline property management processes. Coordinate property preparations and advance site visits prior to the Principals' arrivals, ensuring residences are always turn-key ready. Manage capital projects, interior updates, and coordinate with external vendors and contractors. Oversee inventory and maintenance of artwork, collaborating with consultants on acquisitions, cleaning, and relocation as needed. This position will report directly to the Principals. Personal Assistant & Support:

Assist with scheduling, calendar management for the Mrs. Handle online orders, travel logistics, and special projects. Ensure seamless transitions between residences for the Principals and guests, including concierge-style services as needed. Serve as a discreet, reliable point of contact for personal tasks, while maintaining a warm and approachable demeanor. Staff Supervision & Development:

Manage, train, and support household staff across multiple locations, fostering a positive and efficient team environment. Conduct regular check-ins, weekly meetings, and coordinate staff schedules to align with the Principals' needs. Handle hiring, onboarding, and performance management for domestic staff to maintain high service standards. Create training programs for new and current employees, focusing on the Principals' preferences and household protocols. Financial Oversight:

Oversee household budgets, manage daily expenditures, and reconcile monthly credit card statements. Approve major purchases and review time sheets for household staff. Prepare financial reports for the Principals, ensuring accuracy and transparency. Ideal Candidate Profile:

Approachable and down-to-earth: Must be warm, hands-on, and practical-someone who leads by example rather than a bossy or authoritative approach. The Principals seek a candidate who is straightforward, unpretentious, and can seamlessly fit into a family environment. 10+ years of relevant experience in estate management and personal/executive support. Someone adaptable, proactive, and willing to "roll up their sleeves" to get the job done, whether coordinating projects or pitching in hands-on when needed. Strong problem-solving skills, with an ability to anticipate the needs of the Principals and staff. Excellent communication skills, both written and verbal, with a natural ability to simplify complex information. Technologically savvy with proficiency in Microsoft Office Suite and related software. Comfortable managing multiple residences, with a flexible approach to travel and on-site management as required. Personality & Cultural Fit:

The family is seeking someone who feels more like a trusted associate who is not overly formal-someone with a warm, down-to-earth personality who takes their work but not themselves too seriously. The Principals prefer someone who is hands-on, practical, and sees the staff they manage as partners and not employees. Position Details:

Hours: Generally, Monday to Friday, 9am-6pm, with occasional after-hours availability for urgent matters. No expectation for middle-of-the-night responses. Compensation: $225,000 - $295,000 DOE, with additional bonus potential. Benefits: Comprehensive health insurance and other standard benefits.
