Role
TalEx is looking for a high-energy, self-motivated, Part-Time Operations Specialist. The Operations Specialist is instrumental in driving operational efficiencies across all of our lines of business and will be responsible for performing HR-related duties, and working closely with management in supporting our internal & external employees. They will own the onboarding process from end to end, and proactively provide recommendations and business solutions as the business continues to evolve.
This position carries out responsibilities in the following functional areas: benefits administration, employee relations, training, onboarding, I-9 specialization and management, policy implementation, project coordination, affirmative action, and employment law compliance.
Duties and Responsibilities:
The Operations Specialist will manage the onboarding process from end to end:
- Distributes New Hire welcome emails to all external and internal hires (US, UK, Canada).
- Initiates and monitors new hire onboarding paperwork via ADP and DocuSign.
- Ensures completion of Form I-9s, verifies I-9 documentation for all hires and audits I-9 files.
- Submits online verification requests and assists with new-employee background checks and drug screens as applicable.
- Conducts audits of new/rehires, compliance, benefits, or other HR programs and recommends corrective action.
- Assists with the processing of terminations.
- Performs customer service functions by managing the HR inbox and answering employee requests and questions.
Benefits Administration:
- Administers health and welfare plans, including enrollments, changes, and terminations.
- Processes required documents through payroll and insurance providers to ensure accurate record-keeping and proper deductions.
- Reconciles benefits statements and conducts an audit for weekly enrollments.
- Audits the commuter benefits report on a monthly basis, and reviews with payroll regarding deductions, reimbursements, and terminations.
The Operations Specialist will assist with the following tasks as needed:
- Audit end dates and process terminations.
- Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
- Files documents into appropriate employee files.
- Assists or prepares correspondence as requested.
- Assisting Sr. Manager, ER with receiving and effectively handling employee complaints and escalations when necessary.
- Conducts monthly, quarterly, year-end and ADHOC reporting for various HR initiatives as directed by their manager.
- Manages multiple projects within the Business Operations + Customer Success department for various areas.
Qualifications:
- A bachelor's degree in Business Administration or HR preferred.
- Experience in Recruiting/Staffing/HR a plus.
- Proficiency with Google Docs.

Work Environment:
This is a remote position, however this job operates in a professional environment. This role routinely uses standard office equipment such as laptop computers, photocopiers, and smartphones.
Position Type/Expected Hours of Work:
This is a part-time position. Days and hours of work are Monday through Friday, 4 hours per day (specific times to be determined).
