The Executive Coordinator is a strategic partner responsible for providing comprehensive support to the National Head of Investor Services. The Investor Services platform oversees the strategy and advancement of all disciplines – leasing, property management and project management – serving the firm’s office and industrial portfolios, nationwide. This role will serve as a key resource for integrating the Investor Services perspective into cross-functional projects that deliver on company goals. The ideal candidate for the role is a flexible problem-solver who has superb communication skills and a detail-oriented mindset. Effective at multitasking and a unique ability to handle the unexpected are essential qualifications for the role.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES:
- Act as a trusted business advisor to help advance, implement, and achieve organizational objectives and desired outcomes; use business and subject matter expertise to provide practical and relevant ideas and insights.
- Build positive and productive relationships with leadership and peers, Stream clients and brokerage teams, in all functions at all levels.
- Responsible and accountable for managing work and projects, demonstrating management and leadership abilities to maintain momentum and move work forward intuitively.
- Have an expert understanding of Stream’s matrixed organization in order to coordinate and partner with other national and local teams as appropriate to deliver work effectively.
- Anticipate and manage logistics (in partnership with Platform Marketing Services and independently) for Investor Services meetings and events, includes scheduling, drafting agendas, circulating content, and distributing after meeting deliverables.
- Collaborate cross-functionally with the Senior Director of Integrated Platform Marketing Services to maintain library of content. Responsible for facilitating the efficient flow of information to both internal and external stakeholders.
- Manage executive’s day-to-day social media operations, including content administration, content publishing, and tracking engagement.
- Ensure Investor Services teams are connected to Stream’s tools and application platforms. Drive awareness and encourage adoption of brokerage applications to optimize productivity.
- Manage, coordinate, and arrange executives’ travel and travel-related activities, including hotel booking, transportation, and preparing expense reports. Maintain an up-to-date departmental calendar, tracking meetings, travel, and personal time off to ensure efficient workflow.
- Manage access and memberships for Investor Services email distribution lists, MS Teams Channel, and SharePoint site, including site owner responsibilities.
- Create and maintain contacts, companies, and meeting notes in Dynamics365 CRM application.
- Provide comprehensive administrative support; including Outlook calendar management, creating, updating, and rescheduling meeting invitations; responsible for identifying and resolving scheduling conflicts.
- Plan, manage, and coordinate time and working hours to accommodate requests and schedules; demonstrate exceptional judgment to adjust and flex hours, and address requests with a sense of urgency.
- 4+ years’ experience in providing administrative & project support to a team
- Basic experience in social media management
- Able to think critically to solve complex, time-sensitive inquiries and data issues
- Team-oriented with flexibility and sense of urgency to support timelines and deliverables
- Detail focused with strong follow up skills and the ability to multi-task
- Strong verbal and written communication abilities with practical interpersonal skills
- Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion
- Proficient in the Office 365 Platform, such as Microsoft Teams, Word, Excel, PowerPoint, Outlook, OneDrive, etc.
- Experience with SharePoint preferred
