Summary:

Manages a variety of general office activities by performing the following duties personally or through administrative teammates.

Essential Duties and Responsibilities include
the following. Other duties may be assigned.

Analyzes and organizes office operations and procedures such as bookkeeping, information management, filing systems, requisition of supplies, and other clerical services.

Researches and develops resources that create timely and efficient workflow.

Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.

Approves PTO for Administrative teammates in accordance with company policy and business needs.

Verifies and approves time worked for administrative teammates.

Establishes uniform correspondence procedures and style practices.

Reviews clerical records to ensure completeness, accuracy, and timeliness.

Prepares ad hoc reports per guidance of management.

Maintains contact with customers, suppliers, and outside vendors. Supports receptionist and all customer service-related activities.

Reviews budget to actual variances, quarterly YTD status and provides input into annual budget preparation in partnership with Controller.

Maintains WSWT New Brand and Supplier Registrations and manages repository of brand contracts and registrations in TN. Coordinates with sales and purchasing in new supplier/vendor set up and process training.

Orders and maintains inventory of office supplies, printed forms, and miscellaneous supplies. Manages office supply budget.

Develops and maintains training manual(s) for all office positions.

Support and Backup to TR Department (HR) on all Processes. In back-up role, process new hire paperwork and on boarding new teammates. Support Dept-level hiring and retention activities and events for all teammates and departments.

Completes accounting end-of-month processes.

Acts as back up for all administrative positions.

Prepares check runs and cuts checks.

Works directly with accounting, purchasing, and receiving departments. Support GRIR and PO Discrepancy activities.

Tracks Monthly accruals for payables.

Coordinates new teammate uniform and safety shoe process in support of operational management. Supports vendor relationships for operations management.

Assists with related special projects as required.

Supervisory Responsibilities

Directly supervises all hourly teammates in the Accounting Department and Receptionist. Supports Controller in management of accounting coordinators and department teammates. Support management of Department level Administrators. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience

Bachelor's degree from a four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

Computer Skills

To perform this job successfully, an individual should have knowledge of accounting software; Internet Explorer software; Order processing systems; Microsoft Office and SAP Business software.
