What do we need?

We are looking for a Legal Recruiting Coordinator who will work with the Recruiting Committee and Senior Manager, Talent Acquisition to execute comprehensive strategies for attracting and selecting top legal candidates in Associate, Patent Agent, and Technical Specialist roles. The ideal candidate is detail-oriented, possesses excellent communication skills, and thrives in a fast-paced environment. The Legal Recruiting Coordinator should be local to the DC metro area or willing to relocate. This is a hybrid role that requires regular in-office presence.

How will you make an impact?
  • Regularly checking all incoming candidate sources via email and the Applicant Tracking System (ATS) and preparing candidate picks for review by the Senior Manager, Talent Acquisition. Assembling candidate application packets in Adobe. Preparing Weekly Updates emails to all 4 practice groups and circulating them before the end of each week once picks have been approved.
  • Scheduling all screening and full-round interviews for lateral associates, technical specialists, and patent agents. Using judgment to select interviewers and confirming that all interviewers will be present at their scheduled times.
  • Acting as a face of the firm by greeting, welcoming, and ushering candidates and other recruiting visitors to the firm. Providing in-person tours of the firm's office space and amenities.
  • Monitoring the general recruiting inbox and responding in a timely manner to all incoming queries and messages.
  • Maintaining current applicant records in the ATS.
  • Completing the hiring process for all new hires: conducting reference calls, running background checks, and following up with the conflicts team on conflicts completion.
  • Entering all new hires into HRIS (UKG Pro). Entering signing and referral bonuses in UKG Pro when applicable.
  • Collecting, organizing, and submitting receipts for all expenses charged to the Recruiting firm credit card.
  • Shopping for recruiting gift giving for candidates and incoming new hires. Presenting options to the Senior Specialist, Legal Recruiting and/or Senior Manager, Talent Acquisition. Placing orders when needed.
  • Coordinating, packing, and shipping recruiting materials and swag to career fairs and events.
  • Drafting correspondence/messaging for gifting needs.
  • Producing written and visual materials like the Summer Look Book, electronic invitation images for Outlook (for events), welcome signs for new hires, a summer event calendar, and other assorted materials as needed.
  • Liaising with the Hospitality team for recruiting event planning and execution. Completing necessary Hospitality requirements for all recruiting events, such as inputting guests in the Visitor Log, completing Setup Request forms, and booking conference rooms.
  • Ad hoc meeting scheduling on behalf of the Senior Specialist, Legal Recruiting and Senior Manager, Talent Acquisition.
  • Fulfilling reporting requirements for the Mansfield Rule reporting schedule with the Senior Specialist, D&I.
  • And more.
What will you bring to the role?
  • 1-4 years' experience in legal recruiting or other professional services recruiting preferred. Other professional office administrative experience considered.
  • Bachelor's degree preferred.
  • Stellar administrative skills and strength in learning new processes and technologies to help with task efficiency.
  • Strong independent proofreading skills.
  • Excellent self-organization, verbal and written communication skills, good judgment, and flexibility.
  • Must be able to manage workload independently, prioritize accordingly, and solve problems quickly.
  • Strong computer and typing skills required, including intermediate knowledge of Microsoft Word, PowerPoint, Excel, and Outlook scheduling.
  • Ability to work overtime and stay for after-hours events on a regular basis from May through August and on an as needed basis the rest of the year.

The good faith base salary range for this position is $55,000 to $80,000 per year. The actual salary rate offered to candidates within that range will depend on a variety of factors, including without limitation, years of relevant experience, education, and the candidate's overall qualifications for the position as assessed by the Firm.
