Job Summary The Administrative Associate is responsible for providing essential administrative support to a team or department, assisting with document coordination, data entry, report generation, and other support tasks. This role requires strong organizational skills and experience in customer-facing roles to effectively manage inquiries, prepare documents, and maintain departmental processes. Key Responsibilities Conduct research, prepare statistical reports, and address routine information requests. Gather, compile, and verify information, entering data accurately into reports, presentations, databases, or spreadsheets. Assist with data collection, data entry, and report generation for department-related activities. Support administrative functions such as correspondence preparation, visitor reception, conference call arrangements, and meeting scheduling. Handle routine inquiries from internal or external sources about the department's activities or processes, ensuring prompt and accurate responses. Prepare documentation for vendor and supplier payments; enter payment requests into the accounting system and handle related inquiries. Document and maintain departmental policies and procedures. Participate in business improvement assignments and projects within the department as needed. Perform other routine administrative activities according to organizational or departmental procedures. Required Qualifications Proficiency with Ariba or similar procurement systems. Strong organizational skills to manage multiple tasks effectively. Experience in customer-facing roles with excellent communication skills. Preferred Qualifications Proficiency in Microsoft Office Suite, including Excel, Word, and PowerPoint. Prior experience in administrative or office support roles. Strong attention to detail and ability to prioritize tasks efficiently.
