DEPARTMENT SUMMARY:

Holt's Information Technology department provides timely, relevant and effective technology services to Holt staff, families and constituents, ensuring a high level of integrity, effectiveness and efficiency for Holt's work. The Information Technology (IT) department is committed to providing reliable, secure and efficient IT systems to support high staff productivity, ensuring a high level of integrity and effectiveness for Holt's work.

POSITION SUMMARY:

Coordinate and support projects that improve operational functions, resolve issues in current operations, and implement policies that enhance Holt's work fostering positive relationships with stakeholders. Responsible for overseeing a spectrum of projects simultaneously from initiation to completion, staying on schedule, monitoring the project progress, and managing the team.

The IT Project Manager/Systems Analyst will be responsible for analyzing and improving our IT systems and processes to support the business objectives. The ideal candidate will possess strong analytical skills, excellent communication abilities, and a deep understanding of systems development life cycles.

ESSENTIAL JOB FUNCTIONS:

Coordinate & collaborate with stakeholders to gather and document business requirements. Communicate project status to stakeholders and key project participants. Build confidence and a good rapport with stakeholders/team members. Optimize project plans, tasks, deliverables, schedules, and budgets. Must work well in a team environment and be skilled at multitasking and understanding workflows. Create presentations and reports to communicate project status. Implement IT strategies that deliver projects on schedule and within budget. Set project goals and come up with plans to meet those goals. Stay aware of company goals and strategies to ensure projects align with business priorities. Facilitate and encourage collaboration across departments to ensure projects are completed successfully. Train users on how to appropriately utilize software applications. Write instruction manuals for systems. Consult with managers to determine what role the systems play in the business. Function as the systems analyst for the CRM to include troubleshooting issues, configurations, customizations, training and upgrade planning. Manage the CRM Core and Adoption Core teams during upgrades to assist in workflow design, testing and training. Analyze current systems and workflows to identify and track areas for improvement. Design and propose solutions that align with business needs and technical capabilities. Create detailed specifications and technical documentation. Review release notes and recommend workflows and optimization of processes using upgraded functionality. Support vendors during the implementation of new systems or enhancements. Conduct testing and validation of systems to ensure they meet business requirements. Understand departmental processes to monitor system performance and suggest enhancements for efficiency and effectiveness. Stay current with industry trends and emerging technologies to recommend improvements. Assist the DBA team in data report requests, data mining, and presentation of findings. Requirements

SUCCESS FACTORS:

The successful IT Project Manager/IT Analyst will be detail-oriented with the ability to prioritize and self-manage a multi-tasked workload in a fast-paced environment. Must have strong problem solving and analytical skills with the ability to perform multiple tasks effectively and concurrently. The successful candidate will have the ability to utilize a variety of technology platforms and must demonstrate the ability to analyze options and use sound judgment when decision-making. Excellent communication skills and documentation skills alike are very important success factors for this position.

KNOWLEDGE (MINIMUM REQUIREMENTS):

•Bachelor's degree in a related field and five (5) years of experience, or combination of education and experience.

•Project management certification, such as Project Management Professional PMP, Certified Associate in Project Management CAPM preferred.

SCOPE OF RESPONSIBILITY:

Assists in-person and remote users at Holt International HQ in Eugene, OR, out-of-state branch office staff in addition to assisting staff while traveling out of country. Occasionally provides basic IT services to international staff.

Possesses the ability to establish requirements of a project or program, and communicate them clearly to stakeholders, facilitators, and partners. Demonstrated abilities in technical writing, teaching, and/or public speaking preferred. Exercises good judgment, courtesy, and tact in interaction with employees and the public. Establishes and maintains positive relationships with commercial vendors.

IMPACT OF RESULTS:

Maintains staff productivity and data security. Identifies weaknesses in infrastructure (software, hardware, networks) and finds creative ways to protect Holt's IT systems and electronic assets.

REPORTS DIRECTLY TO:

Director of Information Technology, who reviews work for effectiveness and results obtained.

WORKS DIRECTLY WITH:

Philanthropy & Communications Department, Finance & Administration, International Programs, and Adoption Services staff. Also works with external consultants, vendors and at times international staff.
