AMELIA-NOTTOWAY TECHNICAL CENTER POSITION TITLE: Administrative Assistant TERMS OF EMPLOYMENT: 12 Months - 240 Days SUPERVISOR: Principal FLSA STATUS: Non - Exempt GENERAL DESCRIPTION Supports the Principal and School with secretarial, administrative, and financial tasks within the school site; communicates information to students, parents, and/or instructional and support employees. Supports the ANTC Joint Board as the Joint Board Clerk; communicates information to Joint Board Members at the direction of the Superintendents of Amelia and Nottoway. EDUCATION AND EXPERIENCE Required: Hold a high school diploma or GED certificate Preferred : 5 Years experience in the administrative assistant field. Experience maintaining productivity while working independently. Knowledge of Family Educational Rights and Privacy (FERPA) Knowledge of The Strengthening Career and Technical Education for the 21st Century Act (Perkins V). Knowledge of PowerSchool. ESSENTIAL JOB FUNCTIONS: Serve as administrative assistant to the Principal. Serve as Clerk of the Joint Board (Stipend Compensation) Prepare and post board meeting agendas and minutes Maintain confidentiality on all subject matter required. Perform bookkeeping duties for Student Activity Funds. Input and process information on the computer. Process purchase orders from requisition requests. Coordinate and prioritize office work; develop and implement solutions as required. Prepare replies to correspondence on own initiative or from brief dictated notes. Screen visitors, telephone calls and incoming mail; personally respond to inquiries by making decisions, which in the employee's judgment, do not require the Supervisor's personal attention. Administer routine services or functions of the office such as type/process correspondence and reports, process registrations, and withdrawals. Establish and maintain cross-referenced files. Operate and maintain office equipment such as copiers and calculators. Develop, revise, and produce memos, letters, documents, reports, forms and materials. Maintain and manage files, records, office supplies, materials and equipment in an appropriate accessible manner. Type, proofread, and assemble material for distribution and/or publication. Draft written correspondence, answer correspondence, received on behalf of the supervisor as requested. Receive and return phone calls in a professional manner Be prompt in meeting assignment deadlines. Provide information and assistance to parents, the general public, and other staff members in a helpful, courteous and timely manner. Arrange for appointments and conferences: keeps Supervisor aware of scheduled appointments and meetings. Perform assigned duties efficiently without close supervision. Thoroughly complete tasks assigned as demonstrated by attending to details accurately and efficiently. Perform other related work as required by the Principal or designee. PHYSICAL DEMANDS While performing the duties of this job, the employee must have the ability to sit and stand for extended periods of time; exhibit manual dexterity to use a telephone; to enter data into a computer; to see and read a computer screen and printed material with or without vision aids; to hear, understand speech, and speak in audible tones so that others may understand clearly at normal levels indoors and on the telephone. Physical agility to drive, bend, stoop, sit on the floor, climb stairs, crawl, walk, push, pull, and reach overhead. Thorough knowledge of office terminology, procedures, and equipment. Considerable knowledge of or experience with Office programs such as MS Word, MS Excel, and Google Suites. Experience using accounting software (Linq and EPES preferred). Extensive oral and written communication skills. Ability to maintain complex clerical and financial records and to prepare reports from such records. Ability to operate and maintain standard office equipment. Ability to work effectively under pressure. Ability to maintain confidential information. Highly effective public relations skills and abilities. EVALUATION: The Principal in accordance with the joint school board policy and administrative regulations on the evaluation of support personnel will evaluate performance. REQUIREMENTS Minimum of 18 years of age. References - Applicants must submit two (2) written references; references should be from a current or previous supervisor.
