Description

  • Manage complex calendars, including scheduling internal/external meetings and calls, while proactively resolving conflicts
  • Coordinate extensive meetings with efficiency and detail
  • Communicating clearly to explain conflicts and need to re-prioritize
  • Serve as a gatekeeper to executives, proactively managing schedules for best use of time
  • Liaise with other administrative assistants to schedule collaborative meeting
  • Provide back-up to other assistants when needed Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation
  • Manage expense reporting and reimbursement processes, ensuring adherence to company policies
  • Coordinate and support special projects and initiatives, collaborating with cross-functional teams
  • Coordinate events, team meetings; off-sites/on-sites
  • Perform ad hoc projects as needed
  • Maintain confidentiality of all sensitive and confidential issues

Profile

  • 5 years of administrative assistance experience
  • Proven ability to take initiative, determine priorities and exercise strong judgment
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines
  • Highly Proficient in Microsoft Office Suite - including Outlook, PowerPoint, Excel and Teams as well as WebEx or other video conferencing tools
  • Experience with Concur or similar for travel and expense management
  • Superior communication skills, both written and verbal
  • Ability to take initiative and proactively close loops
  • Handle highly sensitive and confidential information with discretion and professionalism
  • Collaborative/teamwork attitude
