Description
Manage complex calendars, including scheduling internal/external meetings and calls, while proactively resolving conflicts
Coordinate extensive meetings with efficiency and detail
Communicating clearly to explain conflicts and need to re-prioritize
Serve as a gatekeeper to executives, proactively managing schedules for best use of time
Liaise with other administrative assistants to schedule collaborative meeting
Provide back-up to other assistants when needed Coordinate domestic and international travel arrangements, including flights, accommodations, and ground transportation
Manage expense reporting and reimbursement processes, ensuring adherence to company policies
Coordinate and support special projects and initiatives, collaborating with cross-functional teams
Coordinate events, team meetings; off-sites/on-sites
Perform ad hoc projects as needed
Maintain confidentiality of all sensitive and confidential issues
Profile
5 years of administrative assistance experience
Proven ability to take initiative, determine priorities and exercise strong judgment
Exceptional organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines
Highly Proficient in Microsoft Office Suite - including Outlook, PowerPoint, Excel and Teams as well as WebEx or other video conferencing tools
Experience with Concur or similar for travel and expense management
Superior communication skills, both written and verbal
Ability to take initiative and proactively close loops
Handle highly sensitive and confidential information with discretion and professionalism
Collaborative/teamwork attitude
