Husky Health Center seeks a

Program Coordinator (NE S SEIU 925 Non Supv)

for the University of Washington tri-campus Immunity Verification Program (IVP). All new UW students at Seattle, Bothell and Tacoma are required to submit documentation of vaccination or immunity to measles, mumps and meningococcal diseases. The IVP ensures verification of student submissions to meet this requirement. This position will coordinate, schedule, and monitor administrative and programmatic activities to ensure immunity for all students.

This position has specific duties that support the University, including working with staff across campus to plan and coordinate the university requirement for measles, mumps and meningococcal vaccines to protect the health and safety of UW tri-campus.

DUTIES AND RESPONSIBILITIES

IVP Immunization – 50%

Plan and implement the review, verification, and processing of submitted documents as required to support student measles, mumps, meningococcal vaccination or immunity. Provide information and advice to students, parents, advisors, staff, program directors and registrars on the program content, policies, procedures and activities. Work with Communications and other campus entities to compose and coordinate messages and reminders to students via UW and Husky Health communications networks, websites, email, and social media. Respond to inquiries from applicants, students, parents, staff, medical personnel and community affiliates. Work with IT staff (internal and external) to facilitate access to necessary data. Direct the work of staff who review and verify uploaded documents, respond to inquiries, etc. Audit performance and accuracy of contracted immunization verification vendor services. Assist with the review and verification of uploaded immunization records and exemption requests. Assist with planning, coordination, and event support for occasional tri-campus pop-up vaccination clinics. Create social media posts and/or physical flyers, posters, etc. to promote events.Coordinate program administrative support 30% Schedule and lead meetings with campus partners. Assist faculty and staff in preparation of presentation materials and correspondence. Manage, maintain, develop, and troubleshoot electronic tools utilizing current technologies and practices. Examples include web-based submission sites, mail merge, cloud-based document sharing, document templates, electronic form submissions, etc. Coordinate records retention/maintenance process (paper and electronic). Provide administrative support for program as needed, e.g. duplicating, filing, word processing, faxing, and mailing. Document and update program policies and procedures. Record minutes at meetings.Monitor program information and data 10% Analyze reports and track trends of student immunization status for measles, mumps, meningococcal requirements. Collect/query data. Provide regular status reports to manager and campus partners. Maintain and update program email accounts.OTHER DUTIES: 10% Assist with special projects and other duties as assigned. MINIMUM REQUIREMENTS High school graduation or equivalent AND two years of experience in administrative support services OR equivalent education/experience. DESIRED QUALIFICATIONS Associate or Bachelor’s degree. Program coordination experience. Two or more years experience in a health care or university setting. Team player with good communication and relational skills. Strong organizational and writing skills. Interest in student education and advocacy. Demonstrates behaviors that support the UW Medicine Patients Are First Service Culture Guidelines. Experience working with and querying large relational databases. Experience with the UW Business Intelligence Portal for UW Enterprise Data Warehouse reports and analytics. Experience working with UW administrative systems (Student Database, etc.). Experience administering or supporting immunization requirements in a school, university or workplace setting. Experience using the Washington State Immunization Information System (WAIIS). Experience working with the Microsoft 365 suite of products (SharePoint, Outlook, Excel, Teams, etc.).
