HERE IS WHAT YOU WILL DO
The ideal candidate for this position will report to the designated department chair. The administrative specialists will be responsible for performing administrative duties by coordinating the daily operations of the Department of Chemistry .
The essential duties and responsibilities of the Administrative Specialist, Administrative are the following:
- Report to chair and provide administrative support for chair and other departmental administrators, including associate chair, graduate directors, and undergraduate directors, in various administrative duties.
- Provide administrative support to chemistry faculty, staff, and students.
- Provide and supervise others (e.g., work-study students) who provide daily front-office operations, including greeting and directing visitors and taking phone calls.
- Serve the faculty and graduate students directly with administrative processes by connecting them to the appropriate college team members.
- Manage equipment (e.g., copier) in conjunction with the department technology coordinator and facilities (e.g., painting, furniture surplus, repairs, moves, etc.) with the college facility coordinator.
- Support department events and activities (e.g., coordinating speaker arrangements to help set up and take down for events, printing posters for students and faculty, etc.).
- Arrange accommodations, travel, parking, hotel reservation, reimbursement, and other components for guests (job candidates, seminar speakers, etc.).
- Collect, route, and track paperwork or tasks to human resources, business services, budget administration, and other teams as relevant for faculty, staff, student payment reimbursements, graduate student appointments, travel expense statements, student scholarship payments, and foundation charges.
- Manage (train, supervise, and approve hours) work-study students.
- Purchase supplies (e.g., Panther Mart) for the department.
- Assist faculty, staff, student recruitment, hiring (GTA-A, GTA-B, PTI, etc.), and office and lab setup.
- Complete minutes for faculty meetings and executive committee meetings.
- Assist with department awards, including updating department plaques.
- Digitize and organize department files.
- Assist with department decor.
- Support department website and social media accounts in conjunction with the department technology coordinator.
- Assist with department data collection (e.g., survey creation and distribution) as needed.
- Attend regular college-wide meetings as needed.
- Performs other related duties as assigned by the Chemistry Department

Qualifications:
Minimum Requirements:
- A bachelor's degree and two years of administrative experience, a high school diploma or GED and six years of administrative experience, or a combination of education and related experience.
